We're Hiring – Administration, Facilities & Infrastructure

Main Location: Thane, Mumbai
Travel: Regular travel to multiple stores and back-office locations
Week Off: 1 day per week

Join a Leading Jewellery Retail Brand

We are looking for an experienced and hands-on Manager – Administration, Facilities & Infrastructure to manage the end-to-end administration, facilities, and infrastructure operations of our Thane store

The role will be involved from the project execution and fit-out stage and will work closely with the Projects, PMC, Design, Build, and Operations teams to ensure the store is fully ready for opening.

Post-opening, the individual will take ownership of the day-to-day facility and administration operations of the store, while also supporting multiple stores and back-office locations.

This is a hands-on role requiring strong ownership, vendor management, stakeholder coordination, commercial understanding, and problem-solving skills.

Key Responsibilities

Support the project and fit-out phase of the Thane flagship store, including site readiness, snagging, commissioning, and handover.
Coordinate with Projects, PMC, Design Consultants, contractors, service providers, and building management.
Take complete ownership of day-to-day facility operations, including housekeeping, security, engineering, maintenance, utilities, pest control, waste management, and other support services.
Ensure preventive maintenance, AMC management, timely repairs, and uninterrupted functioning of critical infrastructure and MEP systems.
Manage administration requirements, facility assets, consumables, supplies, logistics, and operational support.
Identify, evaluate, negotiate with, and manage facility and administrative vendors.
Manage contracts, AMCs, SLAs, renewals, vendor performance, and cost optimization.
Ensure compliance with fire & safety, statutory, security, and facility-related requirements.
Coordinate with Store Operations, Projects, Finance, Procurement, HR, Security, Senior Management, landlords, and external agencies.
Develop and implement SOPs, checklists, and facility processes to maintain consistent operational standards.
Conduct regular visits to multiple stores and back-office locations to identify facility requirements and ensure timely resolution.
Prepare facility MIS, maintenance reports, vendor performance reports, and expense summaries for management.
Maintain records of AMCs, warranties, statutory certificates, assets, service contracts, and facility documentation.

What We're Looking For

8–10 years of experience in Administration, Facilities Management, Infrastructure, or Retail Operations.
Experience in Luxury Retail, Jewellery, Premium Retail, Hospitality, or High-End Commercial Facilities will be preferred.
Hands-on experience in store fit-outs, new store openings, renovations, or infrastructure projects.
Good understanding of MEP, building services, maintenance, AMC management, and basic infrastructure requirements.
Strong experience in vendor management, commercial negotiation, and service-level management.
Good understanding of security, housekeeping, fire & safety, and statutory facility requirements.
Strong communication, stakeholder management, coordination, and problem-solving skills.
Willingness to travel regularly across multiple stores and back-office locations.
