Full job description

Job Title

Executive Assistant (EA) to Managing Director

Department : Administration / Corporate Office

Reporting To :Managing Director (MD)

Job Location :Bhopal, Madhya Pradesh

JD FOR EXECUTIVE ASSISTANT TO MD

First and foremost, maintain high level of Confidentiality.

Preparation of schedule of activities for the MD on daily basis, like, important meetings ( within and outside the organisation) ; calls to be made; visits to be( undertaken etc.
Have a regular interaction with HODs, Executive Head ,other Directors and assimilate points of importance, relevance and urgency from each one of them which need to be discussed with the MD as per priority and exigencies. Apprise the MD about them and plan meetings accordingly.
Make a note on matters of priority and ensure that the issues are dealt with accordingly.
Make notes ( minutes) of all meetings and discussions, prepare a summary for follow up action with all concerned. Take feedback on follow up action and report to the MD. Also follow up with concerned Executives, the tasks given by MD and report the status to MD.
Form a system for all communication on e mail amongst all Directors, Executive Head, HODs and employees at critical positions and ensure its compliance and sustenance.
Maintain all important documents and correspondence related to MD in an organised manner.
Handling e mail communication, especially outward, on behalf of MD.
Assimilate all important management information from concerned internal departments regarding Bids entered, Contracts received, Sales effected, pendency in installations, pendency in Service call ups, status of recovery of payments, status of Targets set, all on a periodic basis as decided. Other information that may be required to support the MIS. Communicating with concerned departmental heads regarding Sales leads given by MD.
To search for relevant news, articles, trade updates, government notifications on digital and print media or trade magazines and apprise the MD by making a log book of the same.
Collect information about Awards and Government Schemes and preparation of application on behalf of the Company with the help of concerned departments and officials.
Drafting of presentation on MDs advice, vision, policy suggestions and objectives for Associations like ELCINA, Laghu Udyog Bharti, CIMIE etc.
Handling domestic and international travel arrangements for the MD.
Handle MDs social media platforms like LinkedIn, Facebook etc. in an impressive and effective manner.
Other official random tasks pertaining to MDs office which are of administrative nature.
Additionally handle employee grievances, discuss with Director HR and work out solution with the consent of MD and Advisor.

This is an interim arrangement till the time proper HR set up is in place

Pay: ₹25,000.00 - ₹40,000.00 per month
