Brass Animals is a high-growth musical entertainment company that blends traditional New Orleans brass band energy with modern hits. We've collaborated with elite brands like Google, Salesforce, and the Chicago Blackhawks. We are seeking a high-output, execution-focused Operations Coordinator to join our team.

This is a “boots-on-the-ground” operations role — heavy on digital marketing ops, RevOps, and systems execution inside GoHighLevel (GHL). You will not be responsible for high-level strategy or client management; instead, you will be the engine that keeps our marketing campaigns, sales systems, and data accurate and running. Finance is a small, largely AI-automated slice of the role, not a core specialty — this is not an accounting or bookkeeping position. You will work directly under the Operations Lead.

Core Responsibilities1. Sales & Marketing Operations (GoHighLevel-Centric)

Outbound Management: Optimize and monitor email sequences in Instantly.ai and manage the integration between Orum and GoHighLevel (GHL)
Automated Campaigns: Build and maintain automated re-engagement loops within GHL for cold leads, former customers, and “closed-lost” deals
Paid Media Support: Assist in launching campaigns across Google Ads (PMAX), Meta, Bing, and TikTok. Add tracking pixels to web properties and automate ROAS reporting
Content Coordination: Manage the execution of monthly newsletters, refresh blog content for LLM optimization, and help coordinate other special campaign projects

2. Revenue Operations (RevOps) & Reporting

Data Integrity: Ensure accurate lead attribution for every record added to the CRM
Performance Tracking: Build and manage reports for First Meetings, Deals by Owner, and Monthly Commissions
KPI Management: Own the Weekly KPI tracker; ensure team members update their metrics and create training videos to standardize the reporting process
Sales Enablement: Implement sales scoring frameworks in GHL and track AE performance using custom AI tools that we've built in-house

3. Finance & Payments Support (Light, AI-Assisted)

Payments & Reconciliation: Support invoice and payment follow-ups, vendor reconciliation, and basic bookkeeping tasks in Bill.com, using AI tools to automate repetitive finance admin. This is a small part of the role — deep accounting expertise is not required.

4. Operational Support: Musician & Gig Logistics

This is a smaller, supporting part of the role. No live-events or music-industry background is required — we're looking for a strong operations generalist who can pick this up.

Gig Coordination: Help track gigs from booking to completion, ensuring event details, agreements, W9s, and staffing confirmations are accurate
Lifecycle & Compliance: Assist with automated customer review flows and upsell pages within GHL, and support the automated job screening workflow for new musicians and insurance compliance tracking

5. Media & Video Coordination

Asset & Editor Management: Aggregate video footage into centralized folders for editing, and coordinate with video editors to produce high-quality reels for Corporate, Wedding, and Sporting events

Tools & Systems

CRM: GoHighLevel — strong working knowledge required, with the ability to reach expert-level proficiency quickly on the job
Sales Tech: Instantly.ai, Orum, PACER
Ops: Airtable, Google Sheets/Docs
Ads/Tracking: Google Ads, Meta Pixel, TikTok Ads Manager
Finance: Bill.com (preferred) — light usage, AI-assisted
App/Agent Builder: Claude Code / Claude, Loveable, Dust, Glean
Collaboration: Slack, Google Workspace, Fireflies

Requirements

2–4+ years of experience in operations, digital marketing ops, or RevOps in a fast-paced environment
Strong working knowledge of GoHighLevel is essential; you're able to grow into expert-level execution quickly
Comfortable using AI tools to build and maintain automations and workflows
This is an operations-heavy role — finance is a small, AI-automated component, not a bookkeeping or accounting position. Basic finance literacy is enough; deep accounting experience is not what we're screening for
No live-events or music-industry background is required — that experience is a bonus, not a qualifier
Detail-obsessed: you take pride in finding data inconsistencies and fixing them before they're flagged by leadership
Reliable: you are a consistent executor who follows SOPs closely without needing constant reminders
Some overlap with US business hours is a plus, but not required

Success at 90 Days

Clean Data: Lead attribution is active and consistent across GHL records with no meaningful backlog
Reporting Rhythm: Weekly KPI trackers and monthly commission reports are delivered accurately and on time
Campaign Launch: Automated re-engagement and customer review flows are live and generating measurable activity
Asset Library: A centralized video library is fully organized and supporting the production of new marketing reels

Pay: Up to ₹57,204.72 per month
