About you and this role

We are seeking an Administrative Assistant to join Dow’s Information systems department. In this role you will provide general administrative support to a leader or department. We are seeking a candidate that exercises discretion and independent judgement in managing flow of work in a dynamic environment while managing multiple tasks at the same time.

Responsibilities

Administrative & Clerical Support

Provide professional administrative or clerical support to leaders and employees.

Maintain and update documents, ensuring proper information integrity.

Maintain productivity and deliver high‑quality work within expected timelines.

Use business software applications (e.g., Microsoft Office) and stay current with updates.

Run errands for the team as needed.

Meeting & Event Coordination

Assist with meeting logistics: booking conference rooms, ordering food/drinks, coordinating visitor requests, and escorting guests.

Schedule meetings for team members and adjust meetings based on leader direction.

Keep others informed of work status and progress.

Travel & Expenses Management

Assist with preparing travel schedules and researching options (flights, hotels, rental cars); arrange simple travel as needed.

Collect, scan, and organize receipts; complete expense reports for self and prepare for review by submitter.

Maintain and order office supplies; manage related expense reports.

Communication & Support

Receive, screen, and direct incoming calls, visitors, and mail.

Anticipate needs and communicate proactively with team members and leaders.

Work collaboratively and build effective relationships across the team and organization.

Data, Reporting & Documentation

Pull together data and prepare reports following established procedures and guidelines.

Maintain and update documents, ensuring proper information integrity.

Utilize and understand integration between different business and functional systems.

Office Operations & Equipment Support

Act as office equipment focal point and troubleshoot routine issues.

Troubleshoot and apply correct steps for resolving standard office equipment issues.

Identify ways to improve efficiency in assigned tasks and office workflows.

Values, Safety & Professional Behaviour

Understand and follow Dow’s safety behaviours intervene when observing unsafe actions.

Demonstrate adherence to Dow’s core values, respect for colleagues, and ethical behavior.

Demonstrate initiative by assisting senior‑level administrative staff and offering help proactively.

Qualifications

Relevant experience of minimum 3 years working in an MNC with similar responsibilities

Bachelors’ degree in any field

Fluency of communication in English both spoken and written
