Operations Manager & Executive Assistant to the Founder- Business & Personal Support

Location: Pune (Work from Office) + Extensive Domestic & International Travel

Experience: 2–4 Years

Compensation: ₹5,00,000 – ₹7,00,000 CTC per annum

About the Role

We are looking for a highly intelligent, proactive, organized, and trustworthy Operations Manager & Executive Assistant to the Founder who can work closely with the Founder across both business and personal responsibilities.

This is not a conventional Executive Assistant role. The position requires someone who can act as a reliable extension of the Founder, take ownership of day-to-day operational matters, coordinate with internal and external stakeholders, manage schedules and travel, and independently handle confidential and time-sensitive requirements.

The ideal candidate should be comfortable working in a fast-paced entrepreneurial environment, managing multiple priorities, and providing seamless support to the Founder in both professional and personal matters.

Key Responsibilities

1. Business Operations & Founder’s Office

Work directly with the Founder on day-to-day business activities and operational requirements.
Coordinate and follow up with employees, clients, vendors, partners, consultants, and other stakeholders.
Manage meetings, appointments, calendars, agendas, and follow-ups.
Track important business tasks, deadlines, commitments, and deliverables.
Prepare meeting notes, action items, reports, presentations, and other business documents.
Ensure timely follow-up on instructions given by the Founder.
Assist the Founder in coordinating across different departments and ensuring smooth execution of tasks.
Handle confidential business information with complete discretion.
Support the Founder in administrative, operational, and strategic activities as required.
Identify pending issues proactively and ensure they are followed through to closure.

2. Executive Assistant Responsibilities

Manage the Founder’s professional calendar and schedule.
Coordinate internal and external meetings.
Screen, prioritize, and coordinate communications when required.
Draft and manage professional correspondence, emails, and other communications.
Organize documents, records, presentations, and important information.
Coordinate appointments and commitments efficiently.
Ensure the Founder is adequately prepared for important meetings, calls, travel, and events.
Act as a central point of coordination between the Founder and various stakeholders.

3. Travel & Logistics Management

Plan and coordinate domestic and international business travel.
Manage flight, hotel, transportation, visa, and itinerary arrangements.
Prepare detailed travel schedules and itineraries.
Coordinate airport transfers, meetings, accommodation, and other logistics.
Manage last-minute changes and travel-related requirements.
Coordinate personal travel arrangements for the Founder when required.

4. Personal Executive Assistant Responsibilities

The candidate will also be expected to assist the Founder with certain personal and lifestyle-related administrative responsibilities, requiring complete confidentiality, maturity, and discretion.

Responsibilities may include:

Managing the Founder’s personal calendar, appointments, and commitments.
Coordinating personal travel, hotel bookings, transportation, and itineraries.
Managing personal reminders, schedules, and important deadlines.
Coordinating with drivers, household staff, vendors, service providers, and other personal contacts when required.
Coordinating personal appointments, reservations, events, and arrangements.
Assisting with time-sensitive personal requirements and errands.
Managing personal correspondence or communication as instructed.
Maintaining confidential personal documents and information.
Coordinating personal commitments with the Founder’s professional schedule.
Handling urgent or last-minute personal requirements professionally and efficiently.

5. Administration & Coordination

Assist with office and administrative coordination.
Coordinate with vendors and service providers.
Maintain records, documents, schedules, and important information.
Support the Founder in organizing events, meetings, business trips, and other activities.
Take ownership of assigned tasks from initiation through completion.
Ensure smooth coordination between the Founder, employees, and external stakeholders.

Candidate Profile

Education: MBA / BBA or equivalent preferred.

Experience: 2–4 years of experience in Executive Assistant, Founder’s Office, Operations, Business Administration, or a similar role. Experience working directly with founders, CXOs, entrepreneurs, or senior executives will be preferred.

Required Skills

The person in this position will be expected to become a trusted operational support for the Founder, ensuring that both business and personal commitments are properly organized, coordinated, and executed.

The successful candidate should be someone the Founder can rely on to anticipate requirements, manage details, follow up relentlessly, maintain confidentiality, and get things done without constant supervision.

Pay: ₹500,000.00 - ₹700,000.00 per year
