Executive Assistant

Location: Bangalore

About the Role

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support senior management and ensure smooth coordination across the organization.

The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communication, maintaining records, following up on tasks, and supporting day-to-day business operations. Since this is a marketing agency, the role will also involve coordination with clients, creative teams, marketing teams, vendors, and other stakeholders.

Key Responsibilities

Manage calendars, meetings, appointments, and schedules for senior management.
Coordinate internal and external meetings with clients, team members, vendors, and business partners.
Prepare meeting agendas, presentations, reports, minutes of meetings, and other business documents.
Maintain and track important deadlines, action items, and follow-ups.
Coordinate with different departments to ensure tasks and deliverables are completed on time.
Assist in client communication and follow up on requirements, meetings, and pending deliverables.
Support the team in coordinating marketing campaigns, client projects, events, shoots, and other agency activities.
Maintain organized records of documents, reports, contracts, and correspondence.
Handle emails, calls, and other professional communications when required.
Assist with preparing proposals, presentations, reports, and client-related documents.
Coordinate travel arrangements, meetings, and other logistics when required.
Conduct basic research on clients, competitors, industries, and market trends.
Support senior management with administrative, operational, and project-related tasks.
Maintain confidentiality of company, employee, and client information.
Identify pending tasks or coordination gaps and proactively follow up with the relevant teams.
Handle ad-hoc responsibilities and special projects as required.

Requirements

Bachelor’s degree in Business Administration, Management, Marketing, Communications, or a related field.
1–2 years of experience in Executive Assistant, Administrative Coordinator, Operations, Client Servicing, or a similar role.
Prior experience in a marketing, advertising, media, or creative agency is preferred.
Excellent written and verbal communication skills.
Strong organizational and time-management skills.
Excellent follow-up and coordination abilities.
Proficiency in Google Workspace/MS Office, especially Google Sheets/Excel and PowerPoint/Google Slides.
Strong attention to detail and ability to maintain accurate records.
Ability to handle multiple tasks and priorities in a fast-paced environment.
Professional attitude and strong interpersonal skills.
Ability to work independently and take initiative.

Preferred Skills

Experience coordinating with clients and multiple internal teams.
Strong documentation and presentation skills.
Ability to prioritize tasks and meet deadlines.
Problem-solving mindset with a proactive approach.
Ability to handle confidential information professionally.
