Festivals From India is hiring for their client, Ashvita's, who is seeking a detail-oriented and highly organised Executive Assistant to provide administrative, documentation, compliance, and coordination support to the leadership team. The role requires a proactive individual who can effectively manage records, coordinate with external stakeholders, support statutory and compliance processes, and ensure smooth day-to-day administrative operations. This position is ideal for someone who enjoys working in a structured environment, has strong documentation skills, and is comfortable interacting with professionals such as auditors, company secretaries, bankers, and consultants.

About Ashvita's:

Established in 2002 by Ashvin E. Rajagopalan, Ashvita’s is a diversified art business specialising in Indian Art and collectables. Headquartered in Chennai, Ashvita’s conducts museum-quality exhibitions and operates ashvitas.com, a premier online auction house. Ashvita’s provides a vast range of art services that include private acquisitions and sales, wealth management, valuation, conservation, archival services, display and art logistics. Ashvita’s works with select individual collectors, corporate collections, and institutions. Ashvita’s has developed cultural programming and events with critics, art historians, and artists, including public talks, film screenings, performances, studio visits and workshops. Our education department is focused on audience engagement across schools and colleges, as well as on publishing in-depth books on Indian Art.

Please note:

The vetting process for this role comprises 2-3 rounds of interviews and may be followed by a brief assignment.
Festivals From India is hiring for this role on behalf of our client.
This is an on-site, full-time position based in Chennai.

Essential Qualifications:

A Bachelor’s Degree or equivalent.
Professional-level written and verbal communication skills, with expertise in English.
Knowledge of at least one vernacular Indian language is ideal, Tamil preferred.

Essential Experience:

3-5 years of experience in executive assistance, administration, compliance coordination, office management, or a similar role.
Prior experience working for a structured company.
Interest in art and culture is preferred.
Competency using IT systems, particularly Microsoft Excel, Word, and PowerPoint
Familiarity with project management tools like Asana, Slack, Trello, etc. and with digital advertising platforms, social media marketing tools, and mass mailing software is ideal.

Ability to create project management structures, systems, and processes and follow through both personally and with team members
Good time management skills with a proven ability to meet deadlines and work under pressure
A proactive approach to problem-solving with strong decision-making skills
Strong attention to detail and good observation skills
Good writing skills and an understanding of how to approach diverse stakeholders
Ability to manage teams and oversee human resource requirements
Ability to work effectively, both independently and as part of a team
Ability to produce clear, coherent creative briefs and project reports
Ability to organise a daily workload by priorities

Key Roles/Responsibilities:

Maintain and organise company records, statutory documents, contracts, licenses, and other business documentation, ensuring accuracy and easy retrieval.
Track compliance requirements, renewals, and regulatory deadlines; coordinate timely submission of required documents and information.
Serve as the primary point of coordination with auditors, company secretaries, legal advisors, and other professional consultants.
Liaise with banks and external stakeholders for account administration, KYC updates, documentation, and routine correspondence.
Prepare, compile, and manage documents required for audits, compliance reviews, board matters, and management reporting.
Monitor action items arising from audits, compliance requirements, and leadership meetings, ensuring timely follow-up and closure.
Provide administrative support to the leadership team, including scheduling, correspondence, meeting coordination, and operational follow-through.
Support the smooth functioning of day-to-day business operations through effective coordination, record management, and stakeholder communication.

Pay: ₹25,000.00 - ₹30,000.00 per month
