Executive / Senior Executive – ISO IMS Documentation & SOP Implementation

Position Summary

We are looking for a highly organized and disciplined Documentation Executive who will be responsible for implementing, maintaining, and continuously improving the Integrated Management System (IMS) documentation across the organization.

The candidate should possess strong knowledge of Document Management Systems (DMS), Standard Operating Procedures (SOPs), ISO documentation, MIS reporting, dashboard preparation, and cross-functional coordination to ensure every department follows standardized processes.

Key ResponsibilitiesIMS Documentation

Maintain all IMS documents in accordance with ISO requirements.
Ensure only the latest approved documents are available for use.
Maintain Document Master List.
Issue, revise, withdraw, and archive documents.
Maintain revision history and version control.
Ensure document traceability.

SOP Implementation

Coordinate preparation of SOPs for all departments.
Ensure every process has an approved SOP.
Conduct periodic SOP verification across departments.
Follow up with departments for SOP compliance.
Track implementation status.
Ensure obsolete SOPs are removed immediately.
Maintain SOP implementation tracker.

Document Management System (DMS)

Manage digital document repository.
Upload documents in DMS.
Maintain access control.
Organize folders systematically.
Maintain backup of documents.
Ensure document security and confidentiality.

ISO Management System

Support implementation and maintenance of:

ISO 9001
ISO 14001
ISO 45001
Internal IMS procedures
Process documentation
Work Instructions
Formats
Checklists
Records
Process Flow Charts

Compliance Monitoring

Conduct departmental document verification.
Check document completeness.
Verify records maintained by departments.
Ensure documentation compliance during audits.
Prepare audit files.

Dashboard & MIS

Prepare and maintain dashboards for:

SOP implementation status
Department-wise compliance
Pending approvals
Internal audit observations
CAPA status
Training completion
Document revision status
Action tracker
Monthly compliance score
IMS performance indicators

Generate daily, weekly, and monthly MIS reports for management.

Internal Audit Support

Coordinate internal audits.
Collect department records.
Maintain audit evidence.
Track audit findings.
Follow up on corrective actions.
Maintain audit closure reports.

Cross Functional Coordination

Coordinate with:

B.Sc / B.Com / BBA graduates with documentation experience are also encouraged to apply.

Experience

1–4 years in ISO documentation, quality systems, or compliance.
Freshers with strong documentation aptitude and excellent computer skills may also be considered.
