Job Title: Front Office Executive
Department: Administration / Front Office
Employment Type: Full-Time

Job Summary

We are looking for a professional, well-groomed, and customer-focused Front Office Executive to manage the reception area and serve as the first point of contact for visitors, employees, students, parents, and other stakeholders. The candidate should have excellent communication and interpersonal skills along with a polite and professional approach.

Key Responsibilities

Manage the front desk and reception area efficiently.
Greet and assist visitors, parents, students, employees, and guests in a professional manner.
Handle incoming and outgoing calls and transfer calls to the appropriate departments.
Respond to queries and provide accurate information regarding the organization.
Maintain visitor records and issue visitor passes when required.
Manage appointments, meetings, and visitor schedules.
Receive, sort, and distribute incoming mail, courier, and documents.
Coordinate with different departments for visitor and administrative requirements.
Maintain front office records, registers, and necessary documentation.
Ensure the reception area remains clean, organized, and presentable.
Handle basic administrative and clerical activities as assigned.
Assist HR/Admin teams with documentation and coordination whenever required.
Maintain confidentiality of organizational and employee information.
Handle complaints and queries professionally and escalate them to the concerned authority when necessary.
Perform other duties assigned by the reporting manager.

Required Skills

Excellent verbal and written communication skills.
Pleasant personality with a professional attitude.
Good interpersonal and customer service skills.
Strong organizational and multitasking abilities.
Basic knowledge of MS Office, Excel, Word, and email communication.
Good telephone etiquette.
Ability to remain calm and professional while handling multiple visitors and queries.
Strong coordination and follow-up skills.

Educational Qualification

Graduate in any discipline.
Diploma/Certificate in Front Office Management or Hospitality will be an added advantage.

Preferred Candidate Profile

Prior experience in front office, reception, administration, hospitality, school, corporate office, or customer service will be preferred.
Candidates with good communication skills and a positive attitude are encouraged to apply.
Candidates should be presentable, punctual, responsible, and comfortable interacting with people at different levels.

Effective management of the reception/front desk.

Accuracy of records and documentation.

Timely coordination with internal departments.
