Job description:

Primary Role Overview

As an Admin at CDA Academy, you are more than a coordinator — you are a driver of operational excellence. Beyond the defined responsibilities, your role demands a proactive mindset, taking initiative and filling in the gaps when needed. Whether it is ensuring a seamless experience for learners or stepping up during critical situations, you are expected to take full ownership and contribute beyond this job description to maintain the academy’s efficiency and excellence.

Core Responsibilities

1. Enquiry & Front Desk Management

Greet and manage all walk-in visitors and direct enquiries professionally.
Provide accurate course and academy information to prospective learners.
Maintain enquiry logs and follow up with leads.

2. Learner Onboarding & Support

Coordinate printing and distribution of onboarding materials (T&Cs, application forms, welcome cards, pens).
Add new learners to the attendance system and learner groups.
Assist in collecting learner photos during onboarding for convocation purposes.

3. Group Coordination & Communication

Create and maintain active learner WhatsApp groups.
Share CDA posts, YouTube videos, and updates in learner and ambassador groups.
Notify learners about upcoming sessions, trainer assignments, exams, and academy events.

4. Academic & Event Arrangements

Coordinate classroom arrangements for sessions, exams, guest lectures, and internal events.
Support trainers and staff with setup and learner logistics.
Actively participate in and support the execution of all academy events.

5. ERP Management & Fee Follow-ups

Update and manage learner information on the ERP system.
Ensure timely fee collection and resolve discrepancies through proper follow-up.
Maintain records of payment schedules and collection status.

6. Certification & Convocation Coordination

Manage convocation logistics: awards, medals, caps, and certificate printing.
Liaise with designers and ensure timely delivery of convocation items.

7. Inventory Management

Maintain inventory of stationery, certificates, medals, caps, and other academy materials.
Ensure timely procurement and availability of materials required for classes, events, and admin use.
Coordinate with vendors and keep accurate stock records to avoid shortages.

8. New Batch Onboarding Process

Make timely welcome calls to newly joined learners to ensure a warm onboarding experience.
Provide key course information and address learners’ initial queries professionally.
Coordinate closely with the Business Development Associates (Admission Team) to ensure a smooth transition of learners from admission to onboarding.
Coordinate onboarding materials and add learners to the attendance system and learner groups as part of the first-day experience.
Maintain and update the Onboarding SOP Tracker, ensuring every learner progresses through the onboarding process as per the defined SOP.
Conduct consistent follow-ups with learners regarding pending documentation, attendance, onboarding activities, and other mandatory requirements until onboarding is successfully completed.
Manage and coordinate batch schedules, onboarding timelines, classroom allocations, and trainer schedules, ensuring all stakeholders are informed promptly of any changes.
Track pending onboarding activities and proactively escalate delays or issues to the Center Head to ensure operational efficiency.

Proactive Contribution & Ownership

As an Administrator, your contribution is not limited to this job description. You are expected to:

Take ownership of situations even if they fall beyond your official duties.
Fill operational gaps when unforeseen challenges arise.
Act with initiative and consistently contribute to the growth and continuity of the academy without waiting for direction.
Think and act beyond task lists to support your team and enhance the learner experience.

Qualification Required

Bachelor's degree in Business Administration, Commerce, Management, or a related field.
1-3 years of relevant experience in administration, operations, front office, or educational institutions

Skills & Qualities Required

Strong interpersonal and communication skills.
Excellent organizational and follow-up abilities.
Proficiency in Google Workspace, WhatsApp, and basic ERP tools.
Ability to multitask and work in a fast-paced educational environment.
Friendly, service-oriented, detail-focused, and dependable.
A proactive team player with a solution-oriented approach.
