JOB DESCRIPTION (JD)Position: Receptionist

Department: Front Office / Administration
Location: Paldi
Reports To: Front Office Incharge / Administration Manager
Experience Required: 2 Years
Employment Type: Full Time

1. Job Purpose

The Receptionist is responsible for managing the hospital front desk and providing professional assistance to patients, attendants and visitors. The role includes patient registration, appointment coordination, telephone handling, basic billing/support coordination, visitor assistance and maintaining accurate front-office records while ensuring a positive patient experience.

2. Key ResponsibilitiesA. Reception & Front Desk Management

Welcome and greet patients, attendants and visitors in a polite and professional manner.
Attend to patients' and visitors' queries and guide them to the appropriate department.
Maintain a professional and organized reception area.
Ensure smooth functioning of the front desk during assigned shifts.
Manage patient flow and coordinate with concerned departments whenever required.

B. Patient Registration & Appointment

Register new and existing patients accurately in the hospital system.
Verify basic patient information and required documents.
Schedule, confirm and reschedule appointments as per hospital procedures.
Coordinate with doctors' clinics and concerned departments regarding appointment availability.
Provide patients with appropriate information regarding appointment timings and locations.
Maintain confidentiality of patient information.

C. Telephone & Communication

Handle incoming and outgoing calls professionally.
Transfer calls to the appropriate department/person.
Provide accurate basic information to patients and attendants.
Take messages and ensure they are communicated to the concerned person.
Maintain professional communication with patients, attendants and hospital staff.

D. Patient Guidance & Coordination

Guide patients regarding OPD, consultation rooms, diagnostic services, pharmacy, billing and other hospital facilities.
Assist elderly patients and visitors in reaching the appropriate department.
Coordinate with Nursing, Billing, Doctors, Laboratory, Radiology and other departments as required.
Escalate patient-related concerns to the Front Office Incharge or concerned authority.

E. Billing & Payment Coordination

Guide patients regarding billing and payment procedures.
Coordinate with the Billing/Accounts department wherever required.
Assist in providing appropriate billing-related information to patients.
Ensure that any billing concern is promptly directed to the concerned department.
Maintain required front-office records related to receipts or transactions, wherever applicable.

F. Patient Experience

Maintain courteous, empathetic and professional behaviour with patients and attendants.
Handle routine queries and complaints calmly.
Ensure patient concerns are appropriately communicated and followed up.
Support a positive patient experience throughout the patient's visit.
Maintain patient privacy and confidentiality at all times.

G. Documentation & Records

Maintain accurate front-office registers and records.
Ensure patient and appointment information is entered correctly in the system.
Maintain visitor and other required records as per hospital policy.
Prepare daily reports or information required by the reporting manager.
Ensure documents and records are properly maintained and available when required.

H. Safety & Hospital Compliance

Follow hospital SOPs, front-office procedures and patient-safety guidelines.
Follow identification and access-control procedures as applicable.
Support emergency procedures and immediately inform the concerned team during emergencies.
Maintain confidentiality of patient and hospital information.
Follow infection-control and hygiene requirements applicable to the reception area.

3. Shift Handover

Provide proper handover of pending appointments, patient queries, complaints and other important information to the next shift.
Ensure all required registers and records are updated before completing the shift.
Communicate any unresolved issue to the Front Office Incharge.

4. Qualification & Experience

Minimum Qualification:

Graduate preferred.
Basic computer knowledge is required.
Knowledge of MS Office and hospital software/HIS is preferred.

Experience:

Minimum 2 years of experience as a Receptionist/Front Office Executive in a hospital or healthcare organization.
Experience in handling patients, appointments and hospital front-office operations will be preferred.

5. Key Skills Required

Excellent communication and interpersonal skills.
Polite and patient-friendly approach.
Good computer and data-entry skills.
Basic knowledge of hospital/HIS software.
Good telephone etiquette.
Strong coordination and follow-up skills.
Ability to handle multiple tasks during busy hours.

Professional appearance and behaviour.

6. Performance Indicators (KPI)

Accurate patient registration and appointment entries.
Timely and effective handling of patient queries.
Patient/attendant satisfaction.
Proper telephone and front-desk management.
Accurate maintenance of records and registers.
Effective coordination with hospital departments.
Timely escalation and resolution of patient concerns.
Compliance with hospital SOPs and front-office procedures.

7. Accountability

The Receptionist is accountable for maintaining a professional and patient-friendly front desk, ensuring accurate registration and appointment coordination, providing appropriate guidance to patients and visitors, maintaining required records and supporting smooth front-office operations of the hospital.

Pay: ₹17,000.00 - ₹22,000.00 per month
