Executive Assistant to Managing Director (E.A. to MD)

Location: NSP, Delhi
Experience: 5-8 Years
Employment Type: Full-Time
Reporting To: Managing Director

Job Summary

We are looking for an experienced, highly organized, and proactive Executive Assistant to the Managing Director to provide comprehensive administrative, coordination, and operational support to the MD. The ideal candidate should have excellent communication skills, strong organizational abilities, attention to detail, and the ability to manage multiple priorities efficiently.

Key Responsibilities

Manage the MD’s daily calendar, appointments, meetings, and schedules.
Coordinate and schedule internal and external meetings, calls, and appointments.
Manage meeting agendas, notes, MOMs, and ensure timely follow-up on action items.
Act as a key point of coordination between the MD, internal departments, clients, vendors, and other stakeholders.
Ensure timely follow-ups with concerned teams and individuals on tasks assigned by the MD.
Maintain and update follow-up trackers, action-item sheets, and management reports.
Prepare and maintain reports, MIS, presentations, and business-related documents as required.
Handle professional email correspondence, communication, and documentation on behalf of the MD when required.
Coordinate travel arrangements, meetings, appointments, and other logistics for the MD.
Maintain confidential information, documents, and business communications with complete discretion.
Track important deadlines, commitments, and pending activities to ensure timely closure.
Coordinate with different departments to collect required updates and information for the MD.
Assist the MD in day-to-day administrative and business coordination.
Maintain organized records and files using Google Drive and other digital tools.
Support the MD in special projects, research, presentations, and other assignments as required.
Proactively identify pending tasks and ensure that important matters are brought to the MD’s attention.
Handle multiple priorities and last-minute requirements efficiently in a fast-paced environment.

Required Skills & Qualifications

Graduate in any discipline; MBA or relevant professional qualification will be an advantage.
5-8 years of relevant experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar role.
Excellent verbal and written communication skills.
Strong proficiency in Google Workspace, especially Google Sheets, Google Calendar, Google Docs, and Google Drive.
Good working knowledge of MS Excel, Word, and PowerPoint.
Strong scheduling, coordination, and follow-up skills.
Excellent organizational and time-management abilities.
Ability to handle confidential and sensitive information professionally.
Strong attention to detail and accuracy.
Ability to multitask, prioritize work, and work under deadlines.
Proactive approach with strong problem-solving and decision-making abilities.
Professional personality with the ability to interact confidently with senior management and external stakeholders.

Preferred Candidate Profile

The ideal candidate should be mature, dependable, well-organized, proactive, and highly responsive, with the ability to anticipate the MD’s requirements and ensure that tasks are followed through to completion.

Pay: ₹20,000.00 - ₹30,000.00 per month
