About Mulltiply

Mulltiply is an AI-powered commerce and business automation platform that helps businesses manage customer conversations, sales, orders, payments and operations through WhatsApp. We work with MSMEs, distributors, retailers and brands across multiple industries.

Role Overview

We are looking for a highly organised, proactive and dependable professional to support the Founder & CEO while managing day-to-day office administration and sales coordination.

This is a multi-functional role combining the responsibilities of an Executive Assistant, Office Administrator and Sales Assistant. The ideal candidate should be comfortable managing calendars, coordinating meetings, following up with internal and external stakeholders, maintaining sales records and ensuring that office operations run smoothly.

This is not a purely secretarial role. The person will be expected to take ownership, follow through on commitments and help the CEO and the broader team operate more efficiently.

Key Responsibilities1. Executive and Personal Assistance to the CEO

Manage the CEO’s calendar, meetings, appointments and daily schedule.
Coordinate internal meetings, client calls, demos, interviews and external engagements.
Prepare meeting agendas, documents, presentations and background information.
Record meeting minutes and track action items until completion.
Manage emails, calls and follow-ups on behalf of the CEO, as authorised.
Coordinate travel bookings, accommodation, itineraries and related arrangements.
Maintain confidential company, employee, client and personal records.
Remind the CEO and relevant team members about deadlines, commitments and important follow-ups.
Coordinate with clients, partners, investors, consultants, vendors and other stakeholders.
Support the CEO with occasional personal coordination and administrative tasks.

2. Office Administration

Manage day-to-day office operations and ensure the workplace remains organised and functional.
Coordinate with vendors for office supplies, housekeeping, repairs, internet, equipment and other services.
Maintain records of office expenses, bills, subscriptions and vendor payments.
Coordinate employee attendance, leave records, joining formalities and basic HR documentation.
Manage meeting rooms, office visitors, courier services and incoming or outgoing documents.
Maintain inventory of laptops, mobile devices, office equipment and other company assets.
Coordinate with accountants, legal consultants, banks and government departments for documentation and administrative requirements.
Assist in organising team meetings, events, celebrations and company activities.
Support recruitment coordination, including interview scheduling and candidate communication.

3. Sales Assistance and Coordination

Maintain accurate lead, prospect and customer information in the CRM.
Coordinate product demos between prospects and the sales or product team.
Follow up with prospects for meetings, documents, feedback and next steps.
Prepare and share proposals, quotations, capability documents, agreements and onboarding information.
Track sales opportunities and ensure that no lead or follow-up is missed.
Maintain daily and weekly sales trackers, pipeline reports and follow-up schedules.
Coordinate with sales, operations, product and finance teams for customer requirements.
Support the CEO and sales team in preparing for important client and partner meetings.
Track proposal status, commercial discussions, payment follow-ups and customer onboarding progress.
Assist with LinkedIn outreach, email campaigns, event invitations and partner communication.
Maintain an organised repository of sales presentations, proposals, contracts and customer documents.

Skills and Competencies

Excellent verbal and written communication skills in English and Hindi.
Strong organisational, coordination and time-management abilities.
Ability to handle multiple responsibilities and changing priorities.
High level of professionalism, discretion and confidentiality.
Strong follow-up skills and attention to detail.
Confidence in speaking with clients, senior professionals and external stakeholders.
Proficiency in Microsoft Office or Google Workspace, including Docs, Sheets, Slides, Gmail and Calendar.
Basic understanding of CRM systems, sales pipelines and business reporting.
Ability to prepare professional emails, reports, proposals and presentations.
Comfortable working in a fast-paced startup environment.
Proactive approach with the ability to identify and resolve issues independently.

Preferred Qualifications

Bachelor’s degree in Business Administration, Commerce, Management, Communications or a related field.
2–5 years of experience as an Executive Assistant, Personal Secretary, Office Administrator, Sales Coordinator or in a similar role.
Previous experience supporting a founder, CEO or senior management professional will be preferred.
Experience in a technology company, startup, SaaS business or sales-driven organisation will be an advantage.
Familiarity with CRM tools, Google Workspace, Canva and basic reporting dashboards is desirable.

Performance in this role will be evaluated based on:

Timely and accurate management of the CEO’s calendar and commitments.
Completion of meeting follow-ups and action items.
Accuracy and cleanliness of CRM and sales records.
Timely coordination of demos, proposals and prospect follow-ups.
Smooth functioning of office administration.
Quality and professionalism of stakeholder communication.
Responsiveness, reliability and ownership of assigned responsibilities.
Reduction in missed deadlines, meetings and follow-ups.
