Full job description

Position: Personal Assistant to Director
Industry: Steel Pipe, Dolomite, Quartzite & Industrial Mineral Trading
Reporting To: Director

Key Responsibilities

Assisting the Director
Provide day-to-day administrative and business support to the Director.
Manage the Director's daily schedule, appointments, meetings, and business commitments.
Prepare daily task lists, reminders, and follow-up schedules.
Ensure important matters are brought to the Director's attention on time.
Business Coordination
Coordinate with sales, purchase, accounts, logistics, warehouse, and operations departments.
Follow up on important business activities and pending matters as instructed by the Director.
Coordinate with customers, suppliers, transporters, contractors, and business associates.
Maintain proper communication between the Director and various departments.
Sales & Customer Follow-up
Follow up on enquiries, quotations, purchase orders, and sales orders for GI Pipe, MS Pipe, DI Pipe, Dolomite, Quartzite, and other trading products.
Maintain records of important customers and business leads.
Follow up with customers regarding order status, delivery, payments, and other requirements.
Assist the Director in developing new business opportunities.
Purchase & Supplier Coordination
Coordinate with suppliers regarding availability, prices, quality, quantity, and delivery schedules.
Follow up on purchase orders and material dispatches.
Maintain records of supplier quotations and comparative statements.
Assist the Director in price negotiation and procurement decisions.
Logistics & Dispatch Coordination
Coordinate with transporters for loading, dispatch, and delivery of steel pipes and mineral products.
Track vehicle movements and delivery status.
Coordinate with loading supervisors, warehouses, and stockyards.
Report any delays or transportation-related issues to the Director.
Documentation & Reporting
Prepare letters, emails, quotations, purchase orders, reports, statements, and other business documents as instructed.
Maintain confidential business records and important documents.
Prepare daily/weekly business updates for the Director.
Maintain records of pending payments, orders, purchases, sales, and follow-ups.
Meeting & Communication Management
Schedule and coordinate meetings with customers, suppliers, bankers, government officials, and business associates.
Take meeting notes and maintain follow-up points.
Handle routine phone calls, emails, and correspondence on behalf of the Director when authorized.
Accounts & Payment Follow-up
Coordinate with the accounts department regarding receivables, payables, invoices, and outstanding payments.
Follow up with customers for pending payments as instructed.
Assist in collecting financial and business information required by the Director.
Confidentiality & Professional Conduct
Maintain strict confidentiality of the Director's personal and business information.
Handle sensitive commercial documents and communications responsibly.
Ensure that confidential information is not disclosed to unauthorized persons.
Special Assignments
Undertake special projects and assignments given by the Director.
Conduct market research, collect competitor information, and prepare business summaries.
Assist the Director in new business development, expansion, and strategic planning.
Perform other duties as assigned from time to time.

Key Skills Required

Excellent communication and interpersonal skills
Good knowledge of MS Excel, Word, email, and business documentation
Strong follow-up and coordination skills
Good understanding of sales, purchase, logistics, and trading operations
Ability to handle confidential information
Good organizational and time-management skills
Strong negotiation and communication abilities
Ability to coordinate with customers, suppliers, transporters, and employees
Willingness to travel when required
Professional attitude and ability to work under pressure

Pay: ₹15,000.00 - ₹20,000.00 per month
