Job Summary: The Office Assistant is responsible for providing administrative support to the office and ensuring the safe and efficient transportation of staff, clients, and materials. This role involves a combination of office-based tasks and driving responsibilities. The ideal candidate should be organized, reliable, and possess excellent communication skills.

Key Responsibilities:

Office Assistant Duties:

Administrative Support: Provide general administrative support to the office, including answering phones, managing emails, and handling inquiries.

Filing and Record Keeping: Maintain and organize office files, documents, and records, ensuring they are easily accessible and confidential.

Data Entry: Enter data accurately into spreadsheets, databases, and other software as required.

Office Supplies: Monitor and manage office supplies, replenishing stock as necessary.

Appointment Scheduling: Assist in scheduling appointments and meetings, coordinating calendars for staff.

Reception: Greet and assist visitors, ensuring a professional and welcoming environment.

Mail and Deliveries: Handle incoming and outgoing mail and packages, distributing them to the appropriate recipients.

Document Preparation: Assist in creating, formatting, and proofreading documents, reports, and presentations.

Coordinate Office Events: Assist in organizing meetings, events, and training sessions.

Assist with Special Projects: Support team members in various projects as needed.

Driver Duties:

Transportation: Candidate must be an expert in driving with excellent vehicle handling skills and a strong understanding of road safety regulations. Safely transport staff, clients, or materials to designated locations, following traffic rules and regulations.

Vehicle Maintenance: Ensure the vehicle is in good working condition by conducting regular inspections, maintenance, and repairs as needed.

Route Planning: Plan the most efficient and safe routes for transportation, taking into account traffic conditions and time constraints.

Safety: Adhere to safety protocols and ensure the safety of passengers and cargo during transportation.

Documentation: Maintain accurate records of trips, mileage, fuel consumption, and maintenance activities.

Client Service: Provide a high level of customer service to clients during transportation, ensuring their comfort and satisfaction.

Compliance: Comply with all local and state transportation regulations and licensing requirements.

Reporting: Report any accidents, incidents, or vehicle issues to the appropriate authorities and supervisors.

Qualifications:

High school diploma or equivalent
Valid driver's license with a clean driving record.
Knowledge of traffic laws and regulations.
Proficiency in office software (e.g., Microsoft Office Suite).
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Ability to maintain confidentiality.
Physical fitness and the ability to lift and carry moderate loads.
Flexibility to work outside regular office hours when necessary.

This Office Assistant position requires a balance between office-based tasks and driving responsibilities. The successful candidate should be adaptable, detail-oriented, and capable of managing both aspects of the role effectively.
