Job Description – Advanced Excel / MIS Executive

Position

Advanced Excel / MIS Executive

₹18,000 – ₹20,000 per month (Based on experience and interview performance)

Experience

Minimum 3 Years (Preferably in Logistics, Transportation, Supply Chain, Fleet Management, or MIS)

Qualification

Graduate in any discipline (B.Com/BBA/B.Sc./BCA preferred)
Advanced knowledge of Microsoft Excel is mandatory.
Knowledge of Google Sheets will be an added advantage.

Job Summary

We are looking for a dedicated and detail-oriented Advanced Excel / MIS Executive to manage fleet-related data, prepare MIS reports, monitor vehicle documentation, and support daily operational activities. The candidate should have excellent analytical skills and strong proficiency in Microsoft Excel to efficiently manage large volumes of operational data involving more than 500 vehicles.

The role requires close coordination with fleet teams, drivers, transport agents, and management to ensure accurate reporting and smooth day-to-day operations.

Key Responsibilities

1. Fleet Data Management

Maintain the complete Master Fleet Database in Microsoft Excel.
Update vehicle details including registration number, owner details, GPS details, vehicle type, capacity, chassis number, engine number, insurance details, and other records.
Ensure all fleet records are accurate and updated regularly.
Remove duplicate and incorrect entries after verification.
Maintain historical records for future reference.

2. Daily Vehicle Tracking

Monitor the daily movement and operational status of 500+ vehicles using Excel.
Update loading, unloading, transit, and idle vehicle status.
Coordinate with drivers and fleet coordinators through WhatsApp and phone calls.
Follow up for missing updates and pending vehicle information.
Resolve daily operational issues related to vehicle tracking.

3. Vehicle Document Management

Maintain and monitor the validity of:

Permit
Tax
Fitness Certificate
Insurance
Pollution Under Control (PUC)
National Permit
Road Tax
Any other statutory documents

Responsibilities include:

Preparing expiry reports.
Maintaining document validity trackers.
Coordinating with agents for timely renewals.
Following up until updated documents are received.
Ensuring no vehicle operates with expired documents.

4. MIS Reporting

Prepare and submit:

Daily MIS Reports
Weekly MIS Reports
Monthly MIS Reports
Vehicle Availability Reports
Fleet Utilization Reports
Vehicle Paper Validity Reports
Vehicle Performance Reports
Exception Reports
Pending Renewal Reports
Management Dashboards

Reports should be accurate, timely, and easy to understand.

5. Data Analysis

Analyse operational data to identify trends and exceptions.
Prepare productivity reports.
Identify data discrepancies and resolve them.
Reconcile fleet records with operational data.
Generate reports for management decision-making.
Improve reporting accuracy and efficiency.

6. Coordination

Coordinate regularly with:

Drivers
Fleet Supervisors
Operations Team
Transport Agents
Workshop Team
Management

Ensure timely communication for:

Vehicle availability
Document renewals
Daily operational issues
Data verification
Report completion

7. Documentation & Record Keeping

Maintain all operational records systematically.
Organize digital documents in folders.
Update master data regularly.
Archive historical data.
Ensure confidentiality of company information.
