We are looking for a dynamic and hands-on HR Executive to manage end-to-end HR operations for our security services workforce. The candidate will be responsible for manpower recruitment, employee documentation, attendance, payroll coordination, statutory compliance and employee engagement.
The role requires frequent coordination with Operations, Site Supervisors, Security Officers, Guards and client representatives to ensure adequate manpower and smooth HR operations across client locations.
2. KEY RESPONSIBILITIES
A. Recruitment & Manpower Mobilization
- Handle recruitment of Security Guards, Supervisors, Security Officers and other operational staff.
- Source candidates through job portals, references, recruitment agencies, walk-ins and local networks.
- Conduct preliminary interviews and coordinate selection with Operations.
- Verify candidate documents, qualifications, previous employment and references.
- Coordinate joining formalities and deployment of selected candidates.
- Maintain a ready pool of security manpower for urgent requirements and replacements.
- Track vacancies, joining status and deployment requirements.
B. Employee Documentation & Records
- Maintain complete and accurate employee personnel files.
- Collect and verify:
- Aadhaar / ID proof
- PAN
- Bank details
- Address proof
- Educational certificates
- Previous employment documents
- Photographs
- Police verification / background verification documents, wherever applicable
- Medical fitness documentation, wherever required
- Maintain digital and physical employee records.
- Ensure timely renewal and updating of employee documents.
C. Attendance & Payroll Coordination
- Monitor daily attendance and absenteeism across sites.
- Coordinate with Operations/Site Supervisors for attendance inputs.
- Track new joiners, resignations, replacements, leave, weekly offs and overtime.
- Prepare and verify monthly payroll inputs.
- Coordinate with the payroll team for salary processing.
- Resolve employee salary, attendance and deduction-related queries.
D. Statutory Compliance
- Support compliance with applicable labour and employment regulations.
- Coordinate PF, ESI, Professional Tax, Bonus, Gratuity and other statutory requirements, as applicable.
- Ensure employee records and statutory documentation are maintained properly.
- Assist during internal and client compliance audits.
- Coordinate documentation required under PSARA and other applicable security-industry regulations.
- Ensure timely submission of required HR/statutory records.
E. Employee Relations
- Address employee grievances and HR-related concerns.
- Counsel employees on company policies, discipline, attendance and workplace conduct.
- Handle disciplinary matters in coordination with management and Operations.
- Conduct exit interviews and document reasons for attrition.
- Monitor employee satisfaction and retention at various client sites.
F. Training & Induction
- Coordinate induction programs for newly recruited security personnel.
- Ensure employees complete mandatory documentation and joining formalities before deployment.
- Coordinate with the Training/Operations team for:
- Security training
- Site-specific training
- Fire & safety awareness
- Emergency response
- Customer service
- Discipline and conduct
- Maintain training and certification records.
G. HR MIS & Reporting
Prepare and maintain regular HR reports including:
- Manpower strength
- Site-wise deployment
- Recruitment status
- Attrition report
- Absenteeism report
- New joiners
- Resignations
- Replacement status
- Attendance
- Overtime
- Payroll inputs
- PF/ESI status
- Employee documentation status
- Training status
3. SECURITY INDUSTRY-SPECIFIC RESPONSIBILITIES
The HR Executive will work closely with the Operations Department to ensure:
Right Person → Right Documentation → Right Training → Right Deployment → Right Attendance → Right Payroll
The candidate should understand the operational challenges of managing a large, distributed security workforce working across multiple client locations and shifts.
4. REQUIRED QUALIFICATION
- Graduate in HR, Business Administration, Commerce, Management or related discipline.
- MBA/PG Diploma in HR will be an advantage.
- 2–5 years of HR experience, preferably in:
- Security services
- Facility management
- Manpower outsourcing
- Logistics
- Manufacturing
- Hospitality
- Other manpower-intensive industries
5. REQUIRED SKILLS

6. PREFERRED EXPERIENCE
Candidates with experience in Security Services / Facility Management companies will be preferred.
Experience handling 100+ to 500+ employees/security personnel will be an added advantage.
