Job Description – Billing Executive (Car Parking Facility)

Position Details

Job Title: Billing Executive
Department: Parking Operations / Finance
Reports To: Parking Manager / Operations Manager / Finance Manager
Employment Type: Full-Time
Work Location: Car Parking Facility / Parking Plaza / Commercial Complex / Hospital / Mall / Airport / Office Campus

Job Summary

The Billing Executive is responsible for managing the billing and payment processes of the car parking facility. The role ensures accurate fee collection, timely invoice generation, proper handling of cash and digital transactions, reconciliation of daily collections, customer assistance, and compliance with organizational financial policies. The Billing Executive plays a key role in delivering efficient customer service while maintaining complete accuracy in parking revenue management.

Key Responsibilities

1. Parking Fee Collection

Collect parking charges from customers according to approved tariff rates.
Calculate parking fees accurately based on vehicle entry and exit timings.
Process payments using the parking management software.
Ensure customers receive proper payment receipts.

2. Billing Operations

Generate parking bills and invoices accurately.
Verify parking duration before billing.
Process hourly, daily, monthly, seasonal, and reserved parking charges.
Handle GST invoices (where applicable).
Correct billing discrepancies after obtaining necessary approvals.

3. Payment Processing

Accept multiple payment methods including:
Cash
Credit Cards
Debit Cards
UPI
Mobile Wallets
QR Code Payments
Corporate Account Billing
Verify payment confirmation before completing transactions.

4. Cash Management

Maintain an accurate cash drawer throughout the shift.
Count opening and closing cash balances.
Reconcile cash collections with system reports.
Report cash shortages or overages immediately.
Deposit collections according to organizational procedures.

5. System Operations

Operate the computerized Parking Management System.
Verify vehicle entry and exit records.
Generate daily billing reports.
Maintain accurate electronic transaction records.
Report system errors or equipment malfunctions promptly.

6. Customer Service

Explain parking charges and billing policies.
Resolve customer billing queries courteously.
Assist customers experiencing payment issues.
Guide customers regarding payment methods and parking rules.
Escalate unresolved complaints to the Parking Supervisor.

7. Record Maintenance

Maintain daily billing registers.
Preserve receipts and transaction records.
File cancelled bills with appropriate authorization.
Maintain corporate account records.
Ensure proper documentation for audits.

8. Reporting

Prepare and submit:

Daily Collection Report
Cash Reconciliation Report
Digital Payment Summary
Monthly Revenue Report
Shift Closing Report
Pending Payment Report
Exception Reports

9. Compliance

Follow company billing policies.
Maintain confidentiality of financial information.
Comply with applicable GST and taxation requirements.
Adhere to internal financial controls.
Support internal and external audits.

10. Coordination

Coordinate with:

Parking Operations Team
Security Personnel
Finance Department
Maintenance Team
IT Support Team
Customer Service Team
Facility Management

Daily Duties

Open billing counter before shift begins.
Verify parking software functionality.
Process vehicle exit transactions.
Issue receipts.
Handle customer queries.
Reconcile collections periodically.
Generate shift reports.
Close the billing counter after reconciliation.

QualificationsEducation

Bachelor's Degree in Commerce, Business Administration, Finance, Accounting, or a related field.
Diploma holders with relevant experience may also be considered.

Experience

Preferred: 1–3 years in billing, cashiering, parking operations, toll collection, retail billing, or customer service.
Fresh graduates with good computer skills may also be considered.
