Full job description

Job Summary

We are seeking a proactive and detail-oriented Office Administrator & Junior Accountant to support the company’s administrative, accounting, human resources, sales, marketing, and communication functions.

The role is responsible for ensuring smooth day-to-day office operations, maintaining accurate financial and administrative records, coordinating internal and external communications, and providing basic accounting support. The successful candidate should be organized, trustworthy, willing to learn, and ambitious about long-term career growth.

All necessary training related to the company’s procedures, systems, and assigned responsibilities will be provided.

Key Responsibilities:

Office Administration & Secretarial Support

Manage daily office operations and general administrative activities.
Maintain organized physical and digital filing systems.
Handle incoming and outgoing calls, emails, correspondence, and inquiries professionally.
Schedule meetings, prepare agendas, coordinate appointments, and record meeting minutes.
Maintain company records, databases, agreements, and confidential documents.
Prepare letters, reports, forms, quotations, presentations, and other business documents.
Coordinate office supplies, equipment maintenance, vendors, and service providers.
Follow up with departments regarding pending documents, approvals, and assigned activities.
Support management with administrative reports and day-to-day coordination.

Junior Accounting & Finance Support

Record daily financial transactions in the accounting or ERP system.
Prepare sales invoices, purchase entries, receipts, payment vouchers, and journal vouchers.
Maintain petty cash records and verify supporting bills and receipts.
Assist in maintaining accounts payable and accounts receivable records.
Follow up on customer payments and maintain collection status reports.
Verify supplier invoices against purchase orders, delivery notes, and supporting documents.
Assist with bank entries and monthly bank reconciliation.
Maintain expense statements, employee reimbursement records, and advance payment records.
Support the preparation of monthly financial reports and account summaries.
Assist with payroll documentation, attendance information, and employee-related financial records.
Maintain proper filing of invoices, payment documents, bank records, and accounting vouchers.
Assist senior accountants, auditors, and management during financial reviews and audits.
Support GST, TDS, VAT, or other statutory documentation, where applicable, under the guidance of the responsible accountant or consultant.
Ensure that all financial information is handled accurately and confidentially.

Human Resources Support

Assist with job postings, candidate communication, and interview scheduling.
Maintain employee files, contracts, identification documents, and HR records.
Support employee onboarding and offboarding procedures.
Track employee attendance, leave, working hours, and related documentation.
Coordinate employee document renewals and follow up on pending requirements.
Assist in preparing HR reports, letters, notices, and internal communications.

Sales, Marketing & Communication Support

Act as a central point of contact for internal and external communications.
Coordinate communication with customers, suppliers, partners, and other stakeholders.
Draft, edit, and distribute professional emails, notices, memos, and announcements.
Assist the sales team with enquiries, quotations, customer records, and follow-ups.
Support the marketing team with campaign coordination, vendor communication, and documentation.
Maintain customer, supplier, and business contact databases.
Assist in preparing reports, presentations, company profiles, and communication materials.
Ensure clear, consistent, and professional communication across departments.

Skills & Competencies

Basic knowledge of accounting principles and bookkeeping.
Good numerical ability and attention to financial accuracy.
Strong written and verbal communication skills.
Excellent organizational and time-management abilities.
Ability to manage multiple responsibilities and prioritize work effectively.
High level of professionalism, integrity, and confidentiality.
Strong attention to detail and problem-solving ability.
Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and email communication.
Familiarity with accounting software or ERP systems is an advantage.
Ability to prepare clear reports, records, and business correspondence.
Willingness to learn new systems, procedures, and responsibilities.

Qualifications & Experience

Bachelor’s degree, diploma, or equivalent qualification in Commerce, Accounting, Finance, Business Administration, or a related field.
Basic understanding of bookkeeping, invoices, payments, receipts, and financial documentation.
Previous experience in office administration, accounts assistance, or a similar support role is preferred.
Fresh graduates with suitable accounting knowledge, communication skills, and a strong willingness to learn may also apply.
Experience supporting HR, sales, marketing, procurement, or communication functions will be an advantage.
