Full job description

Job Title: Executive Assistant to Director

Location: Golconda, Telangana

Experience:3-5 Years

Working Days: 6 days a week

Working Hours: 9:30 AM to 6:30 PM

Budget: 6-7.5 LPA

Additional working hours may be required based on business needs.

Job Brief

Are you highly organised, proactive, and great at managing multiple tasks? We are looking for an Executive Assistant to support the Director and help keep daily business activities running smoothly.

In this role, you will manage schedules, coordinate meetings, prepare reports, follow up on important tasks, and communicate with different teams and business partners. You will play a key role in helping the Director stay focused on business goals while ensuring that important actions are completed on time.

Responsibilities

Executive Support

Manage the Directors calendar, appointments, meetings, and daily schedule.
Arrange internal and external meetings and communicate details to participants.
Prepare agendas, presentations, reports, and briefing notes.
Maintain daily and weekly task lists for the Director.
Track deadlines, pending tasks, and follow-up actions.
Organize travel, accommodation, transportation, and itineraries when required.
Manage emails, calls, messages, and correspondence.
Handle confidential information with professionalism and care.

Meeting & Follow-up Management

Attend meetings when required and record meeting minutes.
Share action points and deadlines with relevant teams.
Follow up with departments to ensure timely completion of tasks.
Maintain action trackers and provide regular updates to the Director.
Escalate delays or unresolved issues when needed.
Coordinate review meetings and ensure reports are ready in advance.

Internal & External Coordination

Act as a communication bridge between the Director and different departments.
Coordinate with operations, production, finance, HR, procurement, sales, quality, logistics, and other teams.
Communicate instructions clearly and ensure proper follow-up.
Liaise with vendors, consultants, clients, business partners, and visitors.
Support business meetings, events, presentations, and official visits.
Build and maintain professional relationships with stakeholders.

Documentation & Reporting

Prepare, format, and maintain letters, reports, presentations, proposals, and spreadsheets.
Compile departmental data and create management reports.
Maintain organised physical and digital records.
Update trackers for projects, approvals, payments, and business activities.
Support MIS reports and management review documents.
Ensure timely circulation of important documents.

Office & Administrative Support

Coordinate office supplies, facilities, and administrative tasks.
Ensure a professional experience for visitors meeting the Director.
Support employee meetings, conferences, and company events.
Coordinate approvals and documentation across departments.
Monitor pending administrative tasks and ensure closure.
Perform additional responsibilities assigned by the Director.

Qualifications

Education

Bachelors degree in Business Administration, Commerce, Arts, Management, or a related field.
Postgraduate qualifications or professional certifications will be an added advantage.

Experience

35 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, Office Coordinator, or similar role.
Experience supporting a Director, CEO, Managing Director, Business Head, or senior executive is preferred.
Experience in manufacturing, FMCG, food processing, or corporate environments will be an advantage.

Technical Skills

Strong knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
Familiarity with Google Workspace, ERP systems, or task-management tools is preferred.
Experience in preparing MIS reports and management dashboards is desirable.

Personal Skills

Excellent verbal and written communication skills.
Strong English drafting ability.
Good planning, organization, and time-management skills.
Strong follow-up and coordination skills.
High attention to detail and accuracy.
Ability to manage multiple priorities.
Professional email and telephone etiquette.
Strong interpersonal and stakeholder management skills.
Ability to maintain confidentiality.
Proactive and solution-oriented mindset.

Preferred Skills

Knowledge of Telugu and Hindi will be an advantage.
Basic understanding of business, finance, procurement, and operations.
Ability to work effectively with multiple departments and senior stakeholders.
Experience handling sensitive business matters.
