Job Description – FM Soft ServicesPosition Details

Designation: FM – Soft Services / Soft Services Facility Manager
Department: Facility Management
Reporting To: Property Manager
Employment Type: Full-Time

Job Purpose

The FM – Soft Services will be responsible for managing and supervising all soft facility management services, including housekeeping, cleaning operations, manpower deployment, hygiene standards, pest control, façade cleaning, tile and floor care, audits, compliance, vendor management, and procurement-related activities.

The role requires strong knowledge of housekeeping chemicals and equipment, excellent team-handling skills, and the ability to maintain high standards of cleanliness, hygiene, safety, and service delivery.

Key Responsibilities1. Housekeeping & Soft Services Management

Manage day-to-day housekeeping and soft services operations at the facility.
Ensure high standards of cleanliness, hygiene, presentation, and customer service.
Monitor housekeeping activities across office areas, common areas, washrooms, cafeteria/pantry, lobbies, and other designated spaces.
Ensure proper use, storage, and handling of housekeeping chemicals and cleaning equipment.
Maintain adequate availability and stock of chemicals, consumables, tools, and equipment.

2. Chemical & Equipment Knowledge

Possess good knowledge of housekeeping chemicals and their applications.
Ensure correct dilution, application, storage, and handling of cleaning chemicals.
Knowledge of cleaning equipment such as scrubber dryers, vacuum cleaners, single-disc machines, high-pressure machines, wet & dry vacuums, carpet cleaning machines, etc.
Ensure equipment is operated safely and maintained properly.
Train housekeeping staff on the correct use of chemicals and equipment.

3. Tile & Floor Care

Good knowledge of different types of tiles and flooring materials.
Ensure appropriate cleaning methods and chemicals are used based on the floor/tile type.
Supervise floor polishing, scrubbing, buffing, crystallization, stain removal, and deep-cleaning activities.
Ensure proper maintenance of marble, granite, ceramic, vitrified, wooden, vinyl, and other flooring surfaces as applicable.

4. Manpower Deployment

Plan and manage manpower deployment as per the facility's requirements.
Prepare duty rosters, shift schedules, and deployment plans.
Monitor attendance, absenteeism, grooming, discipline, and productivity.
Ensure optimum utilization of manpower across different areas.
Arrange backup manpower during absenteeism or peak operational requirements.
Conduct regular toolbox talks and training for housekeeping staff.

5. Audits & Quality Control

Conduct regular housekeeping and facility inspections.
Carry out internal audits and ensure compliance with defined cleaning standards and checklists.
Identify gaps and prepare corrective and preventive action plans.
Monitor service quality through regular inspections and audits.
Maintain audit records and ensure timely closure of observations.
Support client audits and management inspections.

6. Pest Control Management

Coordinate scheduled and preventive pest control activities.
Monitor pest-control requirements and ensure timely treatment.
Coordinate with authorized pest-control agencies.
Verify service reports and treatment records.
Ensure safe handling and application of pest-control chemicals.
Investigate pest-related complaints and ensure timely corrective action.

7. Façade & External Cleaning

Plan and supervise façade and external building cleaning activities.
Coordinate with specialized façade-cleaning vendors.
Ensure proper safety procedures, work permits, PPE, and equipment are used during façade cleaning.
Monitor quality and completion of façade-cleaning activities.
Maintain cleaning schedules and service records.

8. Compliance Management

Ensure compliance with facility SOPs, safety standards, housekeeping procedures, and client requirements.
Maintain relevant statutory, service, inspection, and compliance records.
Ensure proper documentation for audits and inspections.
Monitor contractor compliance with safety and site requirements.
Ensure corrective actions are completed within the defined timelines.

9. PO / PR Management

Raise and coordinate PR (Purchase Requisition) for required housekeeping materials, chemicals, consumables, and services.
Follow up on PO (Purchase Order) creation and approval.
Monitor material delivery and ensure received materials meet specifications.
Maintain proper records of PRs, POs, invoices, and service documentation.
Coordinate with procurement and finance teams for timely processing.

10. Vendor Management

Manage housekeeping, pest control, façade cleaning, waste management, and other soft-service vendors.
Coordinate vendor manpower and service schedules.
Monitor vendor performance against agreed SLAs/KPIs.
Conduct regular vendor performance reviews.
Verify service completion and reports before invoice processing.
Address vendor performance issues and ensure corrective action.
Support contract renewal, quotations, negotiations, and scope-of-work discussions.

11. Reporting & Documentation

Prepare daily, weekly, and monthly soft-service reports.
Maintain manpower deployment and attendance records.
Maintain chemical and consumable stock records.
Maintain housekeeping inspection and audit reports.
Track complaints, corrective actions, pest-control activities, and façade-cleaning schedules.
Submit regular performance updates to management.

Educational Qualification

Any Graduate / Degree Holder – Preferred
Diploma holders with relevant experience may also be considered.

Experience

4–8 years of relevant experience in Soft Services / Housekeeping / Facility Management.
Experience in managing housekeeping manpower and multiple soft-service vendors is preferred.
Experience in corporate offices, commercial buildings, malls, hotels, hospitals, manufacturing units, or similar facilities will be an advantage.

Candidate Profile

The ideal candidate should be a hands-on Soft Services Facility Management professional with strong knowledge of housekeeping operations, chemicals, cleaning equipment, floor/tile care, manpower deployment, audits, pest control, façade cleaning, compliance, and vendor management. The candidate should have good leadership and communication skills and be capable of independently managing soft-service operations at the site.
