Full job description

Profile: HR and Admin Executive

Working Hours: 9.30am to 6.30pm

Working Days: Mon to Fri

Work Location: Chembur

Key Responsibilities:

Human Resource Management:

Documentation & Record-Keeping:

Maintain and regularly update comprehensive records of all employees, ensuring that all relevant documents are properly filed and accessible as needed.

Recruitment Support:

Assist in the full recruitment lifecycle, including posting job advertisements, screening resumes, coordinating and scheduling interviews, and conducting thorough reference checks.
Keep the Recruitment Tracker updated with current status and progress of all hiring activities.

Employee Identification & Uniforms:

Ensure that all staff have up-to-date identification cards.
Coordinate the provision of uniforms for drivers and business cards for management staff.

Staff Engagement:

Plan and inform management of upcoming staff birthdays and anniversaries, organizing appropriate celebrations or acknowledgments.

Confidentiality Management:

Uphold the highest standards of confidentiality regarding all HR-related matters, implementing necessary measures to ensure sensitive information is protected.

Staff Management & Employee Relations:

Employee Rapport:

Develop and maintain a personal rapport with each staff member to foster a supportive and open environment, ensuring employees feel comfortable discussing and sharing work- related issues.

Issue Resolution:

Proactively identify staff-related issues, highlight them to the Reporting Manager, and propose practical solutions to address these concerns.

Event Coordination:

Assist in the planning and execution of the annual staff picnic or party, ensuring all aspects are organized to enhance team spirit.
Contribute to the planning, budgeting, and management of staff celebrations, such as birthdays and farewell events.

Administrative Management:

Office Administration:

Oversee and ensure the smooth operation of all administrative functions across the head office and associated centres, focusing on the following areas:

Vendor Management: Maintain effective relationships with vendors, ensuring timely delivery of goods and services.
Record Management: Keep accurate and up-to-date records of all relevant documents and files.
Printing & Stationery: Monitor the inventory of office supplies, ensuring timely reordering to prevent shortages.
Repairs & Maintenance: Oversee the repair and maintenance needs of the office, ensuring all facilities are in optimal working condition.
Annual Maintenance Contracts: Manage and renew maintenance contracts, ensuring continuous and effective service.
Meeting Documentation: Record minutes for all staff meetings, ensuring accurate documentation and timely dissemination.
Calendar Management: Maintain and regularly update the calendar for staff birthdays, festivals, and other special days.

Inventory & Procurement:

Monitor office supply levels and manage the purchasing of new materials, ensuring all expenditures are within the allocated budget.

ERP & Invoice Management:

Regularly upload and manage invoices in the ERP system, ensuring all financial documentation is accurate and up to date.

Travel & Accommodation Arrangements:

Assist in the management and supervision of all travel and hotel arrangements for staff, ensuring all bookings are cost-effective and meet the needs of the employees.

Additional Responsibilities:

Undertake any additional HR and administrative duties as assigned by management, contributing to the overall efficiency and effectiveness of the HR & Admin department.

Pay: Up to ₹35,000.00 per month
