Full job description

Position: Executive Assistant – HR Analytics & Administration

Department: Chairman's Office
Location: Kochi
Employment Type: Full-Time
Reporting To: Chairman

Position Summary

We are seeking a highly organized, analytical, and proactive Executive Assistant – HR Analytics & Administration to provide comprehensive executive support while assisting in HR analytics, reporting, and organizational coordination. This role combines executive assistance with HR analytical responsibilities, ensuring seamless administrative operations and providing data-driven insights to support strategic decision-making.

The ideal candidate will act as a bridge between the Chairman, HR, and other departments by coordinating organizational activities, tracking key initiatives, preparing executive reports, monitoring HR metrics, and ensuring timely execution of priorities. The position requires exceptional organizational skills, analytical thinking, strong communication, and the ability to manage multiple responsibilities in a dynamic, fast-paced environment.

Key ResponsibilitiesExecutive & Administrative Support

Manage the Chairman's calendar, meetings, appointments, travel, and daily schedule.
Coordinate interdepartmental communication and ensure smooth workflow across all functions.
Monitor organizational projects, strategic initiatives, and follow up on action items assigned by the Chairman.
Prepare executive reports, presentations, business correspondence, meeting agendas, and management dashboards.
Maintain confidential records, documents, and organizational information.
Coordinate internal approvals, documentation, and administrative processes.
Ensure timely completion of tasks delegated by the Chairman across departments.

HR Analytics & Organizational Support

Collect, analyze, and maintain HR data related to recruitment, headcount, attendance, employee turnover, performance, training, and workforce planning.
Prepare HR MIS reports, dashboards, and analytical reports for the Chairman and management.
Track HR KPIs and organizational performance metrics to support business decisions.
Maintain HR databases and ensure data accuracy, integrity, and confidentiality.
Assist in recruitment coordination, interview scheduling, onboarding, and manpower planning.
Support performance management, employee engagement initiatives, and HR documentation.
Identify workforce trends and recommend process improvements through data analysis.

Coordination & Communication

Facilitate communication between HR, Finance, Operations, Marketing, Administration, and other departments.
Track departmental deliverables and ensure adherence to timelines.
Prepare Minutes of Meeting (MoM), circulate action points, and monitor execution.
Coordinate with external stakeholders, consultants, vendors, and service providers whenever required.
Support employees by coordinating approvals, documentation, and administrative requirements.

Required Qualifications

Master's Degree in Human Resources, Business Administration (MBA), Management, Commerce, Statistics, or a related field.
Minimum 1–3 years of experience in Executive Assistant, HR Analytics, HR Executive, Administrative Coordinator, or similar roles.
Experience supporting senior management or executive leadership is preferred.

Required Skills & Competencies

Excellent organizational and multitasking abilities.
Strong analytical and problem-solving skills.
Excellent written and verbal communication skills in English.
Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, Charts, Dashboards).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Knowledge of HRMS/ERP systems is an advantage.
Strong follow-up, coordination, and stakeholder management skills.
Ability to maintain confidentiality and handle sensitive information.
Excellent interpersonal and relationship management skills.
Ability to work independently with minimal supervision.
High level of professionalism, integrity, accountability, and ownership.
