Job Summary

Plus UAE Group / Vortexen Dynamics Industrial Solutions is looking for a Registration & Prequalifications Officer for our Kochi office.

The selected candidate will handle documentation, data entry, portal submissions, vendor registrations, and prequalification works for UAE government, semi-government, utility, oil & gas, EPC, and private-sector client portals.

The role mainly involves documentation support for:

ADNOC
TAQA
DEWA
SEWA
Abu Dhabi Government Procurement Portal
EPC contractor portals
Oil & Gas company portals
Government and non-government supplier portals

This is a documentation-focused role that requires good English, attention to detail, portal handling ability, and strong follow-up discipline.

Key Responsibilities

Prepare and manage documents for vendor registration and prequalification submissions.
Handle online portal data entry for ADNOC, TAQA, DEWA, SEWA, EPC and client portals.
Collect required documents from clients, OEMs, suppliers, and internal teams.
Upload documents into supplier / vendor portals accurately.
Maintain document checklists for each registration or prequalification file.
Track submission status, pending documents, approvals, rejections, and clarifications.
Respond to portal clarifications and coordinate corrections.
Maintain prequalification trackers and update daily progress.
Support product and service category registration.
Coordinate with Sales, Sourcing, Accounts, Technical, and UAE Operations teams.
Support Indian OEMs, EPCs, and foreign companies entering the UAE market.
Maintain proper document folders, naming, filing, and submission records.
Prepare daily, weekly, and monthly prequalification reports.

Candidate Requirements

Minimum 1–3 years of experience in documentation, data entry, vendor registration, prequalification, tender documentation, or client portal handling.
Good English reading and writing skills are mandatory.
Strong attention to detail.
Good typing and data entry accuracy.
Knowledge of MS Excel / Google Sheets.
Ability to manage documents, folders, checklists, and trackers.
Ability to follow up with clients and internal departments.
Must be able to work under deadlines.
Must be disciplined in daily reporting and tracker updates.

Preferred Experience

Preference will be given to candidates with experience in:

ADNOC registration or prequalification
TAQA / DEWA / SEWA registration support
UAE supplier / vendor portals
EPC contractor portals
Oil & Gas documentation
ISO / HSE documentation
Tender documentation
Technical document compilation
Government portal documentation
UAE company documentation

Freshers with excellent English, documentation skills, and learning attitude may also apply for trainee-level consideration.
