Full job description

The Sales Coordinator will provide administrative and operational support to the sales team, ensuring smooth coordination between customers, sales representatives, , dispatch, and accounts. The role will focus on timely processing of enquiries, quotations, orders, deliveries, documentation, and customer follow-ups.

Key Responsibilities

Receive and process customer enquiries through phone, email, WhatsApp, and other channels.
Prepare and send quotations, proforma invoices, and other commercial documents as required.
Coordinate with the sales team for pricing, product availability, delivery schedules, and customer requirements.
Follow up with customers regarding quotations, purchase orders, pending payments, and repeat orders.
Enter and maintain customer orders accurately in the company's ERP/software or order management system.
Coordinate with purchase, and dispatch departments to ensure timely order execution.
Track order status and keep customers informed about delivery schedules.
Prepare sales orders, delivery instructions, invoices, dispatch documents, and other relevant paperwork.
Maintain updated records of enquiries, quotations, orders, dispatches, and sales follow-ups.
Prepare daily/weekly/monthly sales reports and pending order reports for management.
Coordinate with logistics/transporters for dispatch and delivery of industrial products.
Handle customer queries regarding product specifications, pricing, availability, delivery, and documentation, and coordinate internally for resolution.
Maintain proper records of customer contacts, communication, and business opportunities.
Support the sales team in preparing presentations, product information, price lists, and other sales-related documents.
Monitor pending quotations and proactively follow up to improve quotation-to-order conversion.
Coordinate with the accounts department regarding payment status, outstanding amounts, and credit-related matters.
Assist in maintaining and developing good relationships with existing customers.
Perform other sales-support and coordination activities assigned by management.

Required Skills & Competencies

Good communication and interpersonal skills.
Strong follow-up and coordination abilities.
Good knowledge of MS Excel, Word, Outlook/email, and basic computer applications.
Ability to prepare professional quotations and sales documentation.
Good numerical and analytical skills.
Strong attention to detail and accuracy.
Ability to handle multiple enquiries and orders simultaneously.
Customer-oriented approach with good problem-solving skills.
Ability to coordinate effectively with different departments.
Knowledge of industrial products, engineering products, machinery, electrical products, hardware, or related B2B products will be preferred.
An Engineering Qualification will be an added advantage

Ideal Candidate

The ideal candidate should be organized, proactive, disciplined, and good at follow-up, with the ability to manage customer requirements and coordinate multiple internal departments. Experience in an industrial products/B2B sales environment will be highly desirable.

Pay: ₹15,000.00 - ₹35,000.00 per month
