About the Role

We are looking for a highly organized, responsible, and proactive Personal Assistant / Executive Assistant to provide day-to-day support to the Managing Director across multiple business operations and personal activities.

The candidate will assist in managing activities related to Rootwise Aesthetics, Sigma Process Controls, and personal schedules and responsibilities. This role requires someone who is trustworthy, organized, good at communication, and capable of handling multiple tasks efficiently.

Key Responsibilities

1. Personal & Executive Assistance

Manage the Managing Director's daily schedule, appointments, meetings, and reminders.
Organize personal and professional commitments.
Coordinate travel, bookings, events, and other arrangements.
Handle important calls, messages, follow-ups, and reminders.
Assist with personal tasks and day-to-day coordination when required.
Maintain confidentiality regarding personal and business information.

2. Clinic Management – Rootwise Aesthetics

Coordinate with clinic staff and ensure smooth day-to-day operations.
Monitor appointments, schedules, and important follow-ups.
Coordinate with doctors, aestheticians, front-office staff, and vendors.
Assist with inventory tracking and purchase requirements.
Follow up on pending tasks and ensure responsibilities are completed on time.
Help organize reports, documents, and operational information.
Coordinate meetings and communicate management instructions to the team.

3. Industrial Business Support – Sigma Process Controls

Assist in coordinating with the sales team and back-office team.
Follow up on quotations, enquiries, purchase orders, dispatches, and pending activities.
Maintain basic records of important customers, suppliers, and ongoing orders.
Coordinate with employees and ensure assigned tasks are completed.
Assist in preparing reports, presentations, documents, and meeting notes.
Follow up with suppliers, transporters, customers, and internal team members when required.
Help manage calendars, meetings, and business-related priorities.

4. Task & Team Coordination

Maintain a daily task tracker for important activities.
Follow up with team members on pending work and deadlines.
Prioritize urgent tasks and bring important matters to management's attention.
Ensure that important commitments, meetings, payments, and deadlines are not missed.
Coordinate between different businesses and departments when required.
Provide daily updates on completed, pending, and urgent tasks.

Candidate Requirements

Qualification: Any Bachelor's Degree preferred.
Experience: 0–3 years. Freshers with strong organizational and communication skills may also apply.
Excellent communication skills in English and Tamil.
Strong knowledge of MS Office, Excel, Google Sheets, Email, and Calendar Management.
Ability to manage multiple tasks and priorities.
Good follow-up and coordination skills.
Highly organized and detail-oriented.
Professional, trustworthy, and capable of maintaining confidentiality.
Ability to work independently and take initiative.
Basic understanding of business operations will be an advantage.
