Position: Office Administrator
Department: Administration & Operations
Location: Attingal, Trivandrum
Employment Type: Full-time

Role Overview

We are looking for a responsible and organized Office Administrator to manage day-to-day office operations, documentation, coordination and administrative activities. The person will work closely with the management, project teams, accounts team and external parties to ensure smooth and systematic functioning of the office.

Key Responsibilities

Manage day-to-day office administration and ensure smooth office operations.
Maintain company documents, files, records and agreements in an organized manner.
Coordinate with project teams and collect regular project updates.
Ensure required project information, documents and updates are entered into the company's software/system.
Maintain and update office records, registers and databases.
Coordinate with clients, vendors, contractors and other stakeholders when required.
Assist the management with scheduling meetings, preparing information and following up on action items.
Maintain records of project-related invoices, expenses, bills and other documents.
Coordinate with the accounts team for collection and submission of required financial documents.
Follow up with responsible team members for pending tasks and documentation.
Assist in preparing weekly reports and management updates.
Handle incoming calls, emails and general office communication.
Coordinate office purchases, stationery and other administrative requirements.
Maintain employee attendance and basic administrative records.
Support recruitment, onboarding and other HR-related administrative activities when required.
Maintain confidentiality of company and project information.
Perform other administrative and coordination tasks assigned by the management.

Preferred Skills

Good communication and interpersonal skills.
Strong organizational and follow-up skills.
Basic knowledge of MS Office / Google Workspace.
Ability to work with business software and learn new systems quickly.
Basic understanding of invoices, expenses and office documentation.
Good Malayalam and English communication skills.
Ability to coordinate with multiple people and follow up on pending activities.
Attention to detail and ability to maintain accurate records.

Preferred Qualification & Experience

Any graduate qualification.
Previous experience in office administration, construction, real estate or a similar industry will be an advantage.
Freshers with good communication and organizational skills may also be considered.
