ROLE OVERVIEW

The CRM & Marketing Operations Executive is a central, India-based role responsible for the end-to-end processing, qualification, routing, and quality of every marketing lead generated across the Pahwa Group’s global businesses. The position sits within the AVP – Digital Marketing’s team and operates as the single funnel-point through which leads from digital campaigns, offline sources, and social media flow to the right sales person, in the right division, in the right country.

Beyond lead processing, the role owns CRM data integrity on Zoho CRM and Zoho Marketing Automation, builds and maintains live dashboards, surfaces early-warning signals when lead volumes shift unexpectedly by region or campaign, and serves as the operational backbone connecting marketing activity to sales follow-through across Bry-Air, Desiccant Rotors International, Delair, and Technical Drying Services divisions.

KEY RESPONSIBILITIES

Lead Processing, Qualification & Routing

Process, qualify, enrich, and route all online and offline leads within a 24-hour TAT, maintaining zero backlog and minimal routing errors.
Apply the defined lead taxonomy (industry, application, source, geography, division) consistently and accurately to every record.
Coordinate lead hand-offs with internal teams — including the Desiccant Rotors International lead-handling executives — for further processing.
Maintain and update the master sales-person-to-region-to-division mapping so that every lead reaches the intended owner without manual intervention.

CRM Data Quality & Migration Stewardship

Own day-to-day data hygiene on Zoho CRM — mandatory fields, deduplication, structural integrity, and correction of legacy data inconsistencies surfaced post-migration from HubSpot.
Configure, maintain, and optimise Zoho Marketing Automation workflows, lists, segments, and lead-scoring rules in line with marketing priorities.
Document and maintain SOPs, field dictionaries, and standard operating workflows so that processes are repeatable and audit-ready.

Dashboards, Monitoring & Early-Warning Alerts

Build and maintain live dashboards in Zoho Analytics, Zoho CRM dashboards, Power BI, or Looker Studio, covering lead volume, source mix, regional distribution, conversion, and TAT.
Publish a monthly CRM summary highlighting lead flow, data exceptions, anomalies, and trends.
Proactively alert the AVP and relevant team members when a region stops receiving leads, a campaign’s output drops, or a sales touchpoint goes silent — before it becomes a reported issue.
Spot-check on WhatsApp / email / call whether forwarded leads have reached the intended sales contact, and close the loop on routing failures.

Cross-Divisional Coordination

Operate as the marketing-to-sales handshake across Bry-Air, Desiccant Rotors International, Delair, and Technical Drying Services divisions, and across all 10+ international offices.
Keep relationships warm with division and regional sales contacts so that mapping stays current and lead acknowledgements are timely.

MUST-HAVE SKILLS & EXPERIENCE

Experience: 4–6 years of hands-on experience in CRM administration and marketing operations, with daily working exposure (not occasional) to the platform.
CRM Platforms: Zoho CRM, Zoho Marketing Automation, HubSpot, Salesforce, or Freshsales — must have administered, not merely used, the system.
Dashboards: Has personally built dashboards in Zoho Analytics, Power BI, Looker Studio, or Tableau — not just consumed them.
Excel / Sheets: Pivots, XLOOKUP, SUMIFS, conditional formatting, and clean data structuring.
Workflow Discipline: Has worked under TAT / SLA discipline in a prior role (lead handling, ticketing, agency delivery, or similar).
Communication: Clear, concise written English sufficient to send routing communications and short summaries without supervision.

GOOD-TO-HAVE

Prior exposure to a CRM migration project (HubSpot → Zoho, or any similar transition).
Basic SQL for ad-hoc data discovery and validation.
Familiarity with form-to-CRM integrations (Zoho Flow, Zapier, webhooks).
B2B industrial, manufacturing, or HVAC&R domain exposure.
