Job Summary

Store Manager – Duties & Responsibilities (Hotel Industry)Inventory Management
Maintain optimum stock levels of all hotel materials and supplies.

Procurement & Receiving

Coordinate with the Purchase Department for timely procurement.
Verify all received materials against Purchase Orders (PO), Delivery Challans, and invoices.
Ensure quality and quantity of received goods meet hotel standards.
Reject damaged or non-compliant materials.

Store Operations

Issue materials only against authorized requisition forms.
Maintain proper storage conditions for food, beverages, chemicals, engineering items, linen, and operating supplies.
Ensure cleanliness, safety, and organization of all store areas.
Control access to the store and safeguard hotel assets.

Documentation & Reporting

Maintain accurate inventory records in the ERP/PMS system.
Prepare daily, weekly, and monthly stock reports.
Monitor slow-moving, non-moving, and expired items.
Assist Accounts during month-end inventory closing.

Cost Control

Monitor inventory costs and minimize wastage.
Analyze consumption trends and recommend stock optimization.
Reduce pilferage and inventory losses.
Ensure compliance with budgeted inventory levels.

Compliance & Audits

Ensure compliance with hotel SOPs and company policies.
Coordinate internal and external inventory audits.
Maintain statutory records related to inventory.
Ensure proper documentation for all stock transactions.

Team Management

Supervise Store Executives and Store Assistants.
Train team members on inventory procedures and SOPs.
Allocate duties and monitor staff performance.
Conduct regular departmental meetings.

Coordination

Coordinate with Housekeeping, Kitchen, F&B Service, Engineering, Front Office, and Purchase departments.
Ensure uninterrupted supply of operational materials.
Support emergency procurement requirements.

Store Executive – Duties & Responsibilities (Hotel Industry)Receiving & Inspection

Receive goods as per Purchase Orders.
Check quantity, quality, expiry dates, and packaging.
Report discrepancies immediately to the Store Manager.

Stock Maintenance

Arrange materials systematically in designated locations.
Follow FIFO and FEFO while issuing stock.
Keep stores clean, organized, and hygienic.
Label all inventory correctly.

Material Issue

Issue materials only against approved requisition slips.
Record all inward and outward stock movements.
Ensure timely issue of materials to departments.

Inventory Control

Conduct daily physical stock checks.
Assist in monthly inventory counting.
Report damaged, expired, or slow-moving items.
Monitor minimum and maximum stock levels.

Documentation

Maintain Goods Received Notes (GRN), Bin Cards, and Stock Registers.
Update inventory software/ERP accurately.
File all purchase and store documents properly.

Coordination

Coordinate with Purchase, Accounts, Receiving, and user departments.
Inform the Store Manager of stock shortages.
Follow up on pending deliveries.

Safety & Hygiene

Ensure proper storage conditions for food and non-food items.
Follow food safety and hygiene standards.
Use safe material handling practices.
Report safety hazards immediately.

Compliance

Follow hotel SOPs and inventory policies.
Maintain confidentiality of inventory records.
Support internal and external audits.
Perform additional duties assigned by the Store Manager.
