Job Description - Site Operations & Inventory Control Manager
Role Overview:The Site Operations & Inventory Control Manager will be responsible for managing end-to-end ecommerce fulfillment site operations, including inbound, putaway, inventory control, picking, packing, dispatch, returns, cycle count, stock reconciliation, vendor discrepancy reporting, manpower productivity, SLA adherence, and SOP compliance. The role will act as the single point of ownership for site performance, inventory accuracy, inbound quality, process discipline, and operational issue resolution. The person will ensure that the warehouse operates efficiently, stock records remain accurate, and all incoming and outgoing inventory movements are controlled as per brand standards.

Skills Required
- Strong understanding of ecommerce warehouse and fulfilment operations.
- Good command over inbound, GRN, inventory control, dispatch, returns, and audit processes.
- Knowledge of SKU, batch, expiry, MRP, barcode, PO, invoice, ASN, GRN, and stock adjustment processes.
- Strong attention to detail and counting accuracy.
- Ability to identify stock discrepancies, quality issues, and process gaps.
- Strong Excel / Google Sheets / MIS reporting skills.
- Understanding of WMS, OMS, ERP, and courier systems; Vinculum knowledge preferred.
- Ability to manage third-party manpower and ensure SOP compliance.
What you will do:1. End-to-End Site Operations Management
- Own daily warehouse / darkstore operations including inbound, putaway, storage, picking, packing, dispatch, returns, and inventory control.
- Ensure orders are processed within defined cut-off times and SLA timelines.
- Monitor daily order volume, pending orders, aging orders, SLA breaches, and operational bottlenecks.
- Coordinate with central operations, logistics, product, inventory planning, procurement, finance, and customer support teams.
- Ensure smooth order fulfilment across B2C, marketplace, darkstore, and other ecommerce channels, wherever applicable.
2. SLA & Performance Management
- Track and improve key operational metrics, including order processing TAT, dispatch TAT, pick-pack accuracy, inventory accuracy, manpower productivity, and order breach percentage.
- Review site performance daily through dashboards, MIS, exception reports, and pending trackers.
- Identify recurring operational issues and drive corrective actions.
- Prepare daily / weekly performance updates for leadership review.
- Highlight operational risks proactively with root cause and action plan.
3. Inventory Accuracy & Stock Governance
- Ensure accurate stock storage, bin mapping, SKU hygiene, batch tracking, expiry tracking, FEFO / FIFO adherence, and stock reconciliation.
- Conduct and supervise daily, weekly, and monthly cycle counts as per audit plan.
- Verify physical stock against system stock at SKU, batch, expiry, MRP, and bin level.
- Identify stock mismatches, short / excess quantities, wrong bin placements, missing labels, unscannable barcodes, and location errors.
- Monitor shrinkage, damaged stock, expired stock, dead stock, slow-moving stock, and high-value inventory.
- Ensure expired, damaged, leaked, or unsellable stock is quarantined and marked correctly.
- Maintain strict controls for high-value, fast-moving, fragile, and expiry-sensitive SKUs.
4. Inbound Audit & GRN Control
- Audit incoming stock against PO, invoice, ASN, delivery challan, and system records.
- Verify SKU name, SKU code, quantity, batch number, expiry date, MRP, barcode, and packaging condition.
- Ensure received stock matches system expectations before GRN closure.
- Identify shortages, excess quantity, wrong SKUs, duplicate items, damaged products, near-expiry stock, expired stock, leakage, tampering, or invoice mismatch.
- Validate GRN entries for accuracy and ensure all discrepancies are recorded before stock acceptance.
- Prevent unauthorized inwarding of stock without PO or required approval.
- Ensure only audited and approved stock moves to putaway.
5. Vendor, Transporter & Discrepancy Management
- Report vendor-side and transporter-side issues such as wrong dispatch, short supply, excess supply, damaged goods, expiry mismatch, MRP mismatch, or invoice mismatch.
- Capture proper evidence through photos, quantity records, signed discrepancy notes, and audit reports.
- Maintain inbound discrepancy logs, rejection reports, vendor issue reports, damage reports, and GRN correction records.
- Coordinate with procurement, planning, finance, and warehouse teams for discrepancy closure.
- Track vendor discrepancy closure and ensure repeated issues are escalated with data.
6. Putaway, Storage & Bin Discipline
- Ensure stock is moved from the receiving area to the correct storage / bin location within defined TAT.
- Validate correct labeling, barcode scanning, batch tagging, expiry marking, and SKU placement before storage.
- Prevent wrong putaway of unaudited or rejected stock.
- Ensure bin accuracy across racks, storage zones, pick faces, and bulk locations.
- Identify mixed SKUs, wrong bin mapping, wrong batch placement, and missing labels.
- Coordinate correction of bin-level discrepancies with warehouse team.
7. Team & Manpower Management
- Monitor whether warehouse staff, supervisors, pickers, packers, auditors, and third-party manpower are following brand-defined SOPs.
- Plan manpower as per order load, sale days, campaigns, and business peaks.
- Conduct daily briefings to align teams on order priorities, pending workload, SLA risks, and process discipline.
- Track manpower productivity and identify areas of underutilization or bottleneck.
- Ensure clear shift-wise ownership for inbound, picking, packing, dispatch, returns, and audits.
8. Process Compliance & Site Audit
- Ensure SOP adherence across inbound, storage, putaway, picking, packing, dispatch, returns, cycle count, and stock adjustment processes.
- Perform site audits in accordance with brand guidelines.
- Maintain documentation for audits, stock movements, damages, GRN, dispatches, returns, rejected stock, and stock adjustments.
- Ensure all stock adjustments are properly documented and approved as per the process.
- Support internal and external audits with required data and records.
- Ensure safety, hygiene, security, and compliance standards are followed at the site.
9. Returns & Reverse Inventory Control
- Ensure returned stock is received, audited, QC-checked, and moved to the correct inventory status.
- Validate return discrepancies such as wrong item received, missing item, damaged item, used product, or non-sellable return.
- Track return-to-sellable %, return QC TAT, and rejected return stock.
- Coordinate with customer support, logistics, and finance teams for return closure and refund-related dependencies.
10. Issue Resolution & Escalation
- Act as the first escalation point for site-level operational and inventory-related issues.
- Resolve issues related to stock mismatch, GRN errors, order delays, manpower shortage, courier handover delays, return discrepancies, system discrepancies, and damaged stock.
- Prepare RCA for repeated inventory mismatches, inbound discrepancies, dispatch delays, and SOP deviations.
- Escalate critical risks proactively with data, business impact, and corrective action plan.
Work Experience3–5 years in ecommerce operations, warehouse management, inventory control, inbound operations, stock audit, darkstore operations, retail fulfillment, supply chain operations, FMCG, supplement, pharma-like product handling, or logistics operations. Experience in a D2C, ecommerce, supplement, FMCG, pharma, beauty, or personal care warehouse will be preferred because these categories require tighter control over expiry, batch, MRP, damage, leakage, and return quality.
