At Skylarn AI, the Admin & HR Manager is the backbone of the company — the person who makes sure everything runs smoothly while engineers focus on building. You will set up processes from scratch, hire and onboard our founding team, and create a workplace culture that attracts top AI talent. ABOUT SKYLARN AI

Skylarn AI Technologies is India's first AI-native enterprise services company. We train engineers on cutting-edge AI, build agentic software products, and deploy forward-deployed engineers to enterprise clients. Based in HITEC City, Hyderabad, we are a small, high-velocity founding team building something significant in India's AI ecosystem.

WHAT YOU WILL OWN

Human Resources

· Own end-to-end recruitment — job postings, screening, scheduling interviews, and coordinating offers

· Manage the full employee joining process — offer letters, background checks, documentation, and onboarding packs

· Set up and maintain employee records, HR policies, and the employee handbook

· Coordinate payroll inputs with the finance team or payroll vendor each month

· Track attendance, leave, and timesheets; handle employee queries promptly

· Drive employee engagement — team events, recognition, feedback cycles, and culture initiatives

· Manage statutory compliance: PF, ESI, PT, Gratuity, and related filings in coordination with consultants

· Support performance review cycles and maintain appraisal documentation

Administration

· Set up and manage the Skylarn office — furniture, equipment, internet, supplies, and maintenance

· Procure and track office assets: laptops, monitors, printers, whiteboards, stationery, and peripherals

· Manage relationships with vendors, landlords, and service providers

· Handle travel bookings, accommodation, and logistics for team members and visitors

· Maintain an organized filing system for contracts, agreements, invoices, and company documents

· Coordinate with legal and accounting consultants on company registration, GST, and compliance deadlines

· Manage petty cash, expense reimbursements, and basic bookkeeping coordination

· Handle courier, mail, and day-to-day office logistics

Startup Operations

· Help implement internal tools: HRMS, project tracking, communication, and document management

· Draft and maintain SOPs for HR and admin processes as the company scales

· Act as the first point of contact for all employee needs and escalations

· Coordinate with the founding team on office space planning as headcount grows

WHAT WE ARE LOOKING FOR

Experience & Qualifications

· 1–2 years of experience in an HR, Admin, or Operations role — startup experience strongly preferred

· Bachelor's degree in any discipline; MBA in HR or a related field is a plus

· Hands-on experience with joining formalities, payroll coordination, and statutory compliance (PF, ESI, PT)

· Proven track record of managing office administration and vendor relationships

· Familiarity with HRMS tools (Zoho People, Keka, greytHR, or similar)

Skills & Mindset

· Exceptional organizational skills — you can track 20 things at once and nothing falls through the cracks

· Strong written and verbal communication in English and Telugu/Hindi

· High ownership mentality — you don't wait to be told; you identify gaps and fix them

· Startup DNA — comfortable building processes from scratch with minimal guidance

· Discreet and trustworthy — you handle sensitive employee and financial information with confidentiality

· Warm and approachable — you are the face of the company for new hires and visitors

· Proficient in MS Office / Google Workspace — Excel/Sheets, Word/Docs, and email

Good to Have

· Experience setting up an office from scratch (furniture, IT, vendor contracts)

· Knowledge of Startup India, DPIIT, and Shops & Establishment compliance

· Prior experience in an AI, tech, or software company

· Basic understanding of Indian labour law and employment contracts
