Full job description

Job Purpose

The Shop Accountant is responsible for providing remote accounting and operational support to the company's retail shops in Dubai. The role ensures accurate financial recording, customer payment follow-up, timely reporting, stock reconciliation, banking coordination, and effective communication with the Dubai shop teams and Head Office departments. The position plays a key role in supporting daily shop operations while ensuring compliance with company policies and internal controls.

Key Responsibilities

1. Financial Accounting & Reporting

Prepare monthly accounts finalization for all assigned retail shops.
Prepare and submit timely MIS reports.
Ensure accurate recording of all financial transactions in the ERP system.
Monitor shop financial performance and report any significant variances.

2. Daily Shop Accounting

Record and verify daily sales, receipts, purchases, stock transfers, and other accounting transactions.
Ensure timely posting of accounting entries.
Perform daily reconciliation of sales and receipts.

3. Customer Collection & Receivable Management

Follow up with shop customers for outstanding payments.
Monitor customer outstanding balances and aging reports.
Coordinate with the sales and shop teams to ensure timely collection of receivables.
Escalate overdue accounts to the Senior Accountant when necessary.
Maintain accurate customer account reconciliations.

4. Cash & Banking Operations

Verify daily shop cash collections.
Coordinate cash and cheque deposits with the Dubai shop teams.
Reconcile bank deposits with daily sales and collection reports.
Report any cash shortages or discrepancies immediately.

5. Stock Management & Reconciliation

Assist the Dubai shop teams during stock-taking activities.
Prepare Delivery Notes (DN) for stock transfer transactions.
Reconcile stock movements between the warehouse and retail shops.
Investigate and resolve stock discrepancies.

6. Intercompany Transactions

Prepare invoices from the main company to retail shops.
Record purchase invoices in the shop accounts.
Reconcile intercompany transactions and balances.

7. Pricing & Billing

Process special price requests and obtain necessary approvals.
Ensure timely billing and payment closing.
Verify the accuracy of invoices and supporting documents.

8. Procurement & Logistics Coordination

Coordinate bulk order placements for retail shops.
Follow up on order status with suppliers and internal departments.
Prepare and submit the Daily Evening Order Report to the Logistics Department.
Coordinate stock replenishment with the Logistics team.

9. HR & Administrative Support

Coordinate routine HR-related activities for shop staff.
Maintain attendance and employee-related records as required.
Liaise with the HR Department on operational matters.

10. Compliance & Internal Controls

Ensure compliance with company accounting policies, SOPs, and internal controls.
Maintain proper documentation and filing of accounting records.
Assist during internal and external audits by providing supporting documents and reports.

Key Performance Indicators (KPIs)

Timely completion of monthly accounts finalization and MIS reports.
Accuracy of daily accounting transactions.
Timely follow-up and collection of customer receivables.
Zero unexplained cash or stock variances.
Timely reconciliation of customer accounts, bank deposits, and stock.
Timely submission of daily collection reports and logistics reports.
Compliance with company policies, SOPs, and audit requirements.

Qualifications

Bachelor's Degree in Accounting, Finance, or Commerce.
2–5 years of accounting experience, preferably in Retail or FMCG.
Experience with ERP systems (SAP Business One preferred).
Proficiency in Microsoft Excel and MS Office applications.

Required Skills

Strong accounting and reconciliation skills.
Knowledge of accounts receivable and customer collection procedures.
Understanding of inventory and retail accounting.
Good communication and coordination skills.
Strong analytical and problem-solving ability.
High attention to detail and accuracy.
Ability to work independently in a remote support environment and meet deadlines.
