Full job description

We are looking for an experienced and highly organised Admin Manager to oversee the administrative functions of i’Deli Cafe and ensure smooth coordination between management, outlets, employees, vendors, and external agencies.

The ideal candidate should be proactive, disciplined, detail-oriented, and capable of handling multiple responsibilities in a fast-paced restaurant environment. The person will be responsible for maintaining administrative systems, employee records, vendor coordination, statutory documentation, office requirements, and supporting the management team in the effective running of the business.

Key Responsibilities

1. General Administration

Manage day-to-day administrative activities of the company and outlets.
Maintain proper filing systems for physical and digital documents.
Ensure timely renewal and maintenance of licenses, registrations, agreements, insurance and other business documents.
Coordinate with government departments, local authorities and external agencies when required.
Maintain records of company assets, equipment, office supplies and administrative materials.
Coordinate internal communication between management, outlets and departments.

2. Employee Administration

Maintain accurate employee records, joining documents, ID proofs and other HR-related documentation.
Coordinate employee joining, transfers, exits and documentation.
Maintain attendance, leave and other administrative records in coordination with HR/accounts.
Assist management with staff accommodation, uniforms, ID cards and other employee requirements.
Coordinate staff welfare and administrative requirements across outlets.
Ensure company policies and administrative procedures are properly communicated and followed.

3. Outlet Administration

Coordinate administrative requirements of all i’Deli Cafe outlets.
Ensure each outlet has the required stationery, forms, registers, uniforms, cleaning materials and other administrative supplies.
Monitor outlet-level documentation and reporting.
Coordinate maintenance, housekeeping, pest control, security and other support services.
Follow up with outlet managers regarding pending administrative matters.
Conduct periodic administrative checks and prepare reports for management.

4. Vendor & Service Provider Coordination

Coordinate with vendors and service providers for administrative and operational requirements.
Maintain vendor records, quotations, agreements and service schedules.
Follow up on pending deliveries, repairs, maintenance and services.
Assist management in evaluating vendors based on cost, quality and reliability.
Coordinate AMC/service contracts for equipment and facilities where applicable.

5. Procurement & Inventory Support

Monitor administrative and non-food consumables across outlets.
Raise purchase requirements and coordinate procurement with the concerned department.
Maintain records of stationery, uniforms, cleaning supplies, packaging-related administrative materials and other non-food items.
Ensure proper stock levels and avoid unnecessary purchases or wastage.

6. Compliance & Documentation

Maintain a calendar of important statutory renewals, licenses, registrations and contracts.
Ensure required documents are available and updated at each outlet.
Coordinate with accountants, consultants, auditors and legal professionals when required.
Maintain confidential company and employee documents securely.
Assist management during inspections, audits and compliance-related requirements.

7. Management Support

Prepare administrative reports and updates for management.
Track pending tasks and ensure timely follow-up.
Assist with opening new outlets by coordinating documentation, vendors, utilities, licenses, uniforms, signage and other administrative requirements.
Support management in implementing new systems, SOPs and administrative processes.
Handle confidential information with discretion.

Required Skills & Qualifications

Bachelor’s degree in Business Administration, Management, HR, Commerce or a related field.
3–6 years of experience in administration, preferably in restaurants, hotels, retail, QSR or F&B.
Strong organisational and coordination skills.
Good knowledge of MS Excel, Word, Google Workspace and administrative software.
Good communication and interpersonal skills.
Ability to coordinate with multiple departments and external vendors.
Strong follow-up and problem-solving ability.
Ability to work independently and manage multiple priorities.
Willingness to travel between outlets when required.
Knowledge of Kerala labour/statutory requirements will be an advantage.

Accuracy and completeness of employee/company documentation.
Timely renewal of licenses, contracts and statutory documents.
Reduction in administrative delays and pending issues.
Efficient vendor and service-provider coordination.
Availability of required administrative supplies at outlets.
Compliance with company administrative SOPs.
Effective support during new outlet openings.
Timely reporting and follow-up of management requirements.

Pay: ₹30,000.00 - ₹35,000.00 per month
