Full job description

Position: Buyer Coordinator
Department: Operations / Hosted Buyer Program
Experience: 2–3 Years
Industry: B2B Travel Exhibitions / Trade Shows / Travel & Tourism Events

Job Summary:

The Buyer Coordinator will be responsible for managing the complete Hosted Buyer Program lifecycle for B2B travel exhibitions. The role includes identifying and qualifying travel agents and buyers, coordinating registrations and payments, managing travel and accommodation arrangements, facilitating buyer-exhibitor meetings during the event, and overseeing appointment sheet verification and security deposit refund processes.

Key Responsibilities:

Buyer Identification & Qualification

Research, identify, and source potential travel agents, tour operators, and industry buyers.
Screen and pre-qualify buyers based on event eligibility criteria.
Verify buyer credentials, company details, and business relevance.
Build and maintain a database of qualified buyers.

Buyer Outreach & Registration

Contact prospective buyers through calls, emails, and other communication channels.
Present the Hosted Buyer Program and explain participation benefits.
Manage buyer registrations and participation confirmations.
Maintain accurate buyer records and registration status reports.

Payment & Deposit Management

Coordinate collection of registration fees and refundable security deposits.
Share payment instructions and follow up for payment confirmations.
Verify payment proofs and coordinate with the Accounts team.
Track payment status and maintain related documentation.

Travel & Accommodation Coordination

Coordinate hotel bookings, room allocations, check-in and check-out schedules.
Manage buyer travel information, arrival schedules, and transportation requirements.
Liaise with hotels, transport vendors, and service providers.
Ensure timely communication of travel and accommodation details to buyers.

Event Operations & Buyer Services

Act as the primary point of contact for buyers before, during, and after the event.
Manage buyer registration and onsite support.
Distribute event badges, meal/food coupons, appointment schedules, and event information.
Assist buyers with event schedules, venue navigation, and operational support.

Appointment & Meeting Management

Prepare and distribute buyer appointment sheets.
Coordinate scheduled meetings between buyers and exhibitors.
Monitor buyer attendance and meeting completion targets.
Ensure appointment sheets are signed by exhibitors after meetings.
Collect and verify completed appointment forms from buyers.

Post-Event Coordination

Review and verify appointment sheets for completion and exhibitor signatures.
Coordinate with Accounts for processing refundable security deposits.
Communicate refund status and timelines to buyers.
Maintain records of buyer participation and meeting completion.

Reporting & Documentation

Prepare buyer participation and meeting completion reports.
Maintain accurate records of registrations, payments, accommodations, and appointments.
Compile post-event feedback and operational reports.
Archive buyer and event documentation for future reference.

Required Qualifications:

Bachelor's Degree in Tourism, Hospitality, Event Management, Business Administration, or a related field.
2–3 years of experience in Hosted Buyer Programs, B2B Travel Exhibitions, Trade Shows, Event Operations, or Travel Industry Coordination.
Experience in screening and qualifying travel agents, tour operators, or industry buyers.
Strong coordination, communication, and stakeholder management skills.
Proficiency in MS Excel, Word, and CRM/Event Management systems.
Ability to manage multiple tasks and work effectively under tight event deadlines.

Pay: ₹30,000.00 - ₹35,000.00 per month
