Job Description – Project Coordinator

Position: Project Coordinator
Experience: 1–2 Years

About the Role

Primacy Infotech is looking for a proactive and organized Project Coordinator who will coordinate between clients, developers, functional consultants, and internal teams to ensure projects are delivered smoothly and on time.

The candidate will be responsible for project follow-ups, task coordination, client communication, meeting documentation, project status tracking, and preparation of basic project documentation.

This role is suitable for someone with 1–2 years of experience in IT/software project coordination, project management support, or client coordination.

Key Responsibilities1. Project Coordination

· Coordinate day-to-day project activities between clients, developers, functional consultants, QA, and other internal teams.

· Ensure project tasks are properly assigned to the appropriate team members.

· Follow up with developers and consultants regarding pending tasks and deadlines.

· Monitor project progress and ensure milestones are completed on schedule.

· Maintain project task lists, timelines, priorities, and deliverables.

· Identify delays or dependencies and escalate them to the Project Manager/Management when required.

2. Client Coordination

· Act as a coordination point between the client and the internal project team.

· Communicate project updates, pending requirements, and delivery status to clients.

· Coordinate client meetings, demonstrations, UAT sessions, and follow-up discussions.

· Collect requirements, feedback, documents, and approvals from clients.

· Follow up with clients regarding pending information, testing, approvals, and sign-offs.

· Maintain professional communication with clients throughout the project lifecycle.

3. Project Documentation

Prepare and maintain project-related documentation, including:

· Minutes of Meeting (MOM)

· Requirement notes

· Project scope documents

· Functional requirement summaries

· Project plans and timelines

· Task and issue trackers

· UAT documents

· Change request records

· Project status reports

· Client feedback records

· Project handover documents

· Training and implementation-related documentation

The candidate is not expected to write highly technical documentation but should be able to clearly document business requirements, discussions, decisions, responsibilities, and action items.

4. Meeting Management

· Schedule and coordinate internal and client meetings.

· Prepare meeting agendas when required.

· Attend project meetings and document important discussions.

· Prepare and circulate MOM with clear:

o Discussion points

o Decisions

o Action items

o Responsible persons

o Target dates

· Follow up on action items until completion.

5. Task & Progress Tracking

· Maintain project task boards or project management systems.

· Track task status such as:

o To Do

o In Progress

o Testing

o Client Review

o Completed

o On Hold

· Follow up on overdue tasks.

· Maintain project priority and dependency lists.

· Provide regular project status updates to management.

6. Testing & Delivery Coordination

· Coordinate with QA/development teams for testing.

· Coordinate client UAT.

· Record client-reported bugs and change requests.

· Ensure issues are assigned to the appropriate developer/team.

· Track issues until resolution.

· Coordinate final deployment, client confirmation, and project handover.

Required Skills

· 1–2 years of experience in Project Coordination, Project Management Support, Software Implementation, Business Coordination, or a similar role.

· Good written and verbal communication skills.

· Strong follow-up and coordination ability.

· Ability to communicate professionally with clients.

· Good documentation and reporting skills.

· Strong organizational and time-management skills.

· Ability to manage multiple projects/tasks simultaneously.

· Basic understanding of the software development lifecycle.

· Ability to understand basic business requirements and convert discussions into structured documentation.

· Comfortable working with developers, functional consultants, QA teams, and clients.

Technical / Tool Knowledge

Knowledge of any of the following will be preferred:

· Odoo / ERP systems

· CRM or business applications

· Jira

· Trello

· Asana

· ClickUp

· Microsoft Excel / Google Sheets

· Microsoft Word / Google Docs

· Project management or ticket management tools

Previous exposure to ERP, Odoo, SaaS, web applications, mobile applications, or custom software development projects will be an advantage.

Educational Qualification

Bachelor’s degree in any relevant discipline such as:

· B.Tech / B.E.

· BCA / MCA

· B.Sc. IT / Computer Science

· BBA / MBA

· Business Management

· Project Management

Candidates from other educational backgrounds with relevant IT project coordination experience may also apply.

Typical Project Workflow

The Project Coordinator will generally coordinate projects through the following stages:

Client Requirement → Requirement Documentation → Internal Task Allocation → Development → Internal Testing → Client Demo → UAT → Issue Resolution → Client Approval → Deployment → Documentation → Project Closure / Support Handover

Performance Expectations

The candidate will be evaluated based on:

· Timely project follow-ups

· Accuracy of project documentation

· Timely preparation of MOM and status reports

· Reduction in overdue project tasks

· Effective communication with clients and internal teams

· Proper maintenance of task trackers

· Timely escalation of project risks

· Client satisfaction

· Successful coordination of project milestones and deliveries

Preferred Candidate Profile

We are looking for someone who does not simply maintain task lists but actively takes ownership of project coordination.

The person should continuously understand:

What is pending?
Who is responsible?
What is the deadline?
What is blocking the task?
What information is required from the client?
What needs to happen next?

The Project Coordinator should ensure that communication gaps between the client and development team do not cause unnecessary project delays.
