About The Mansion

The Mansion is a premium gifting brand working with luxury hotels, corporate clients, and high-end events across India. We're hiring a Client Servicing Executive to be the operational and client-facing backbone of our studio.

About the Role

We're hiring a Client Servicing & Studio Coordinator to be the day-to-day backbone of the studio. This is a hands-on, varied role for someone who takes pride in keeping things organised, well-presented, and beautifully executed.

You'll work directly with the founder and the team, handling client coordination, dispatch oversight, studio upkeep, invoicing coordination, content support, and light client-facing sales. The role is deliberately broad. We're looking for someone who thrives on variety and ownership, not someone looking for a narrowly defined job.

What You'll Own

Client Coordination & Communication

First point of contact for incoming WhatsApp, email, and phone queries, filter, respond, and route appropriately as per our internal SOP
Handle straightforward client conversations end-to-end (smaller orders, ready-to-ship boxes) guide them to the right products on our website and close
Coordinate larger or custom queries to the founder / sales team
Maintain the daily client tracker and follow-up logs
Ensure no client query goes unanswered beyond 4 hours

Order Coordination & Dispatch QC

Coordinate with merchandisers, warehouse, and packing on order readiness
Final quality check on every dispatch before it leaves, packaging, presentation, accuracy
Coordinate courier scheduling and delivery confirmation
Address any post-delivery client communication

Invoicing & Accounts Coordination

Generate client invoices, track receivables, follow up on outstanding payments
Maintain organised digital records of invoices, POs, and order documentation
Coordinate routine inputs with our external CA (we have an accountant, you'll feed clean records, not do the books)

Studio & Office Upkeep

Oversee the upkeep of our studio and warehouse spaces, cleanliness, organisation, supplies
Manage inventory of office and packaging supplies
Vendor coordination for studio and office needs

Content & Brand Support

Post pre-made content on our social handles as per the schedule provided
Shoot basic product and unboxing videos for client previews and social use (a clean phone camera and a good eye is enough, no editing skills required)
Maintain a clean digital library of product photos, videos, and client-facing material

Internal Coordination

Schedule meetings, prepare meeting notes
Hiring and onboarding logistics, JD posting, resume coordination, interview scheduling
Light HR coordination, attendance, leave records, onboarding paperwork
Any operational task that needs doing, handled with ownership, not pushback

Who You Are

Must-haves:

2- 4 years of experience in client servicing, studio coordination, hospitality, premium retail, design studios, boutique agencies, or premium event production
Excellent written and spoken English, articulate, professional, presentable
Highly organised, you live in trackers, lists, and follow-ups
Comfortable handling 8 - 10 different tasks in a day without dropping any
Aesthetic awareness, you understand the difference between "done" and "done well"
Comfortable with WhatsApp Business, Gmail, Google Workspace, basic phone videography, Canva
Ownership-led, you close loops without being reminded

Backgrounds we're looking for:

Premium D2C brands (Forest Essentials, Nicobar, Good Earth, Kama Ayurveda, Bombay Shaving Co., similar)
Boutique design studios, fashion ateliers, photography studios
Luxury hotels (concierge, guest relations, F&B coordination)
Premium event production firms (Devika Narain, Vandana Mohan, similar)
Boutique PR or brand agencies (junior account roles)
Premium wedding planners

Not for you if:

Your background is in factory operations, manufacturing, supply chain, BPO, or tech operations
You're looking for a single, narrowly defined role
You see studio upkeep, dispatch QC, or coordination work as beneath your skill set
You're looking to transition into design, marketing, or pure sales, this is a coordination-first role
You need detailed instructions for every task
