Front Desk Executive – Bhavik ENT Care

Location: Ghatkopar East, Mumbai
Employment Type: Full-time
Experience: 2+ years preferred
Industry: Healthcare / ENT Clinic

About Bhavik ENT Care

Bhavik ENT Care is a well-established ENT and Head & Neck clinic providing comprehensive ENT, voice, hearing, balance and pediatric ENT services. We are looking for a smart, polite, responsible and well-organized Front Desk Executive who can independently manage front-desk operations and contribute to the smooth functioning of the clinic.

This is a long-term opportunity for someone who enjoys working in a professional healthcare environment and is willing to take ownership of their responsibilities.

Key Responsibilities

Manage patient appointments and scheduling efficiently as per clinic SOPs.
Confirm appointments and communicate appointment details, instructions and changes to patients through WhatsApp and phone calls.
Attend incoming calls and make outgoing calls to patients when required.
Handle patient registration, billing and basic front-desk coordination.
Maintain petty cash, daily collections and basic accounting/reconciliation.
Maintain Google Sheets, clinic records, calendars and other administrative documentation.
Plan the day's activities in advance and ensure smooth coordination of appointments, procedures and other clinic activities.
Supervise the clinic premises, housekeeping and overall discipline to ensure a clean, organized and professional environment.
Draft and prepare certificates, letters and other patient-related documents as instructed.
Prepare and send professional emails and other official communications.
Assist in maintaining the clinic's social media presence, including scheduled daily posts as per the clinic's guidelines.
Coordinate with doctors, audiologists, technicians and other staff to ensure smooth patient flow.
Assist doctors with their day-to-day administrative and clinical coordination requirements.
Maintain a professional, courteous and empathetic approach while dealing with patients and their attendants.
In case of an emergency or when required, assist the doctor during procedures within the clinic, after appropriate training and under supervision.
Identify operational issues proactively and communicate them to the concerned person.
Take ownership of assigned responsibilities and ensure tasks are completed accurately and on time.
Perform any other reasonable administrative or operational assignment related to the smooth functioning of the clinic.

What We Expect

Excellent communication skills in English, Hindi and Marathi.
Pleasant personality with excellent patient-handling and interpersonal skills.
Good basic computer knowledge, including billing software, WhatsApp, email, Google Sheets and MS Office.
Good organizational and time-management skills.
Ability to multitask and remain calm during busy clinic hours.
Punctual, disciplined, well-presented and professional.
High level of responsibility, honesty and attention to detail.
Willingness to learn and take ownership rather than waiting for instructions for every task.

Preferred Experience

Candidates with 2+ years of experience in any of the following will be preferred:

ENT / specialty clinic
Hospital
Diagnostic centre
Healthcare / medical reception
Premium clinic or healthcare facility
