Job Summary

We are looking for a disciplined, experienced and highly responsible Admin Manager with a background as a Retired Defence Officer, preferably with substantial experience in administrative, personnel, security, logistics or facility-management functions.

The ideal candidate should possess strong leadership, organizational and administrative skills, along with the ability to manage manpower, security, facilities, discipline and day-to-day administrative operations across the organization.

Key Responsibilities

Manage overall administration and facility-management activities of the organization.
Establish and maintain effective administrative systems, processes and controls.
Manage security arrangements, including security personnel, access control and visitor management.
Coordinate with security agencies, local administration, police and other government authorities whenever required.
Supervise housekeeping, transportation, office facilities, maintenance and general services.
Manage administrative support for Head Office, project offices and site locations
Monitor attendance, discipline, conduct and deployment of administrative/support staff.
Plan and manage manpower deployment for security, housekeeping, drivers, support staff and other administrative functions.
Ensure proper maintenance and availability of office/site infrastructure, equipment and facilities.
Develop and implement emergency response, safety and security procedures.
Handle crisis situations, security incidents and emergency coordination effectively.
Monitor company vehicles, transportation, fuel usage and related administrative records.
Coordinate accommodation, guest-house and travel arrangements for employees and senior management.
Maintain proper records of assets, office equipment, licenses, contracts and administrative documents.
Manage vendors, contractors and service providers related to administration and facility management.
Monitor administrative budgets and control operational expenses.
Ensure compliance with company policies, statutory requirements and safety procedures.
Conduct regular inspections of offices, project sites, stores and other company facilities.

Preferred Candidate Profile

Preference will be given to Retired Defence Officers with experience in administrative roles such as:

Administration
Personnel Management
Logistics
Security & Vigilance
Facility Management
Operations
Estate Management
Transport & Movement
Stores / Inventory Management

Candidates from Army, Air Force or Navy with relevant administrative experience are encouraged to apply.

Strong leadership and people-management skills.
Excellent discipline, organizational and administrative capabilities.
Strong security and risk-management knowledge.
Excellent communication and coordination skills.
Ability to manage large teams and multiple locations.
Strong crisis-management and problem-solving abilities.
Knowledge of facility, transport, security and vendor management.
High level of integrity, confidentiality and professionalism.
Ability to work independently and take quick decisions.
Proficiency in MS Office and administrative reporting systems.

Qualification

Graduate in any discipline.
Defence background with relevant administrative experience is preferred.
Additional qualification in Management / Administration / Security Management will be an added advantage
Coordinate with project/site teams to ensure smooth administrative operations.
