Full job description

Position: Executive Assistant cum Business Analyst

Department: Chairman's Office
Location: Kochi
Employment Type: Full-Time
Reporting To: Chairman

Position Summary

We are seeking a highly organized, analytical, proactive, and professional Executive Assistant cum Business Analyst to provide comprehensive executive, administrative, coordination, and business analysis support to the Chairman.

The ideal candidate will be responsible for coordinating organizational activities, monitoring departmental performance, preparing management reports, analyzing business data, tracking key action points, facilitating communication between departments, and supporting the Chairman in strategic and operational decision-making.

The role requires strong analytical and organizational skills, excellent communication abilities, attention to detail, business understanding, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

1. Executive & Administrative Support

Provide comprehensive administrative and executive support to the Chairman.
Manage and coordinate appointments, meetings, schedules, and internal reviews.
Prepare reports, presentations, meeting agendas, correspondence, and other management documents.
Maintain confidential records, documents, and organizational information.
Coordinate internal approvals, documentation, and administrative processes.
Monitor tasks delegated by the Chairman and ensure timely completion.
Maintain proper follow-up on important organizational activities and priorities.

2. Business Analysis & Management Reporting

Collect, organize, and analyze business and operational data from different departments.
Prepare daily, weekly, and monthly management reports for the Chairman.
Track key performance indicators (KPIs), targets, achievements, and pending activities.
Analyze departmental performance and identify gaps, delays, and areas requiring attention.
Prepare MIS reports, dashboards, summaries, and presentations for management review.
Provide data-driven insights to support business and operational decision-making.
Identify trends, issues, and opportunities based on available business data.
Assist in preparing business reviews and performance analysis.

3. Interdepartmental Coordination

Facilitate effective communication and workflow among HR, Finance, Operations, Marketing, Sales, Administration, and other departments.
Follow up with department heads and team members regarding assigned tasks and deliverables.
Track departmental activities against agreed timelines and targets.
Coordinate resources, approvals, and administrative requirements.
Monitor action items arising from meetings and ensure timely execution by respective teams.
Escalate delays, critical issues, and pending decisions to the Chairman when required.

4. Meeting & Communication Management

Schedule, organize, and coordinate meetings, appointments, and internal reviews.
Prepare meeting agendas and relevant reports or presentations.
Attend meetings when required and prepare Minutes of Meeting (MoM).
Circulate action points to respective stakeholders and follow up on completion.
Ensure effective communication between the Chairman and internal teams.
Coordinate with external stakeholders, vendors, service providers, and business partners when required.

5. Strategic & Operational Support

Assist the Chairman in monitoring organizational priorities and strategic initiatives.
Support the implementation and tracking of business plans and operational objectives.
Conduct basic research and analysis on business-related matters as assigned.
Prepare comparative statements, summaries, and analytical reports for management review.
Assist in identifying operational inefficiencies and areas for improvement.
Support special projects and assignments initiated by the Chairman.
Ensure important organizational activities are tracked and followed through to completion.

Required Qualifications

Master's degree in Business Administration, Management, Commerce, Business Analytics, or a related field.
Minimum 1–3 years of experience in Executive Assistant, Business Analyst, Management Coordinator, MIS, Administrative Coordinator, or similar roles.
Experience working with senior management, business heads, or executive leadership is preferred.
Candidates with experience in both executive support and business analysis/MIS reporting will be preferred.

Excellent follow-up and coordination skills.
Proficiency in Microsoft Office Suite – Word, Excel, PowerPoint, and Outlook.
Strong knowledge of MS Excel, data analysis, MIS reporting, and presentation preparation.
Ability to prepare management reports and dashboards.
Ability to interpret business data and present meaningful insights.
Strong interpersonal and relationship-management skills.
Ability to maintain confidentiality and handle sensitive information.
Strong attention to detail and accuracy.
Ability to work independently with minimal supervision.
Strong decision-making and prioritization abilities.
High level of professionalism, integrity, accountability, and ownership.
