Job Description: Asst. Manager- Operations & Programs

Location: New Delhi

Reports to: Primary to Director – Programs & Communications & Secondary Dy. Director, Finance, Accounts and Assurance

Type: Full-time, Mid-Management Position

About Samvad Samajik Sansthan

Samvad Samajik Sansthan, popularly known as Samvad is a not-for profit organization committed to driving social and economic transformation and sustainable change through effective communication with the children, girls and young people thereby enhancing their participation and leadership in grassroots community development. Samvad was founded by young development workers in 1998 and is registered as a Society under the Societies Registration Act, 1860. Over the past three decades, Samvad has impacted the lives of more than 20 million children, particularly girls and boys in difficult circumstances and their families across several States of India through high impact social development actions the domains of education, health, nutrition, livelihoods and empowerment of children and women.

Position Overview

The Manager- Operations & Programswill deal with every aspect of operations related to General Administration. S/he holds specific responsibility to provide support in all tasks including office administration and management, asset and inventory management, procurement of goods and services and maintaining vendor and services MIS and related compliances. S/he will also be responsible for project coordination and implementation of the project activities and fundraising opportunities.

Key Responsibilities

Supervise and monitor Admin Officer, office assistants, and housekeeping staff to ensure smooth daily operations.
Ensure efficient day-to-day administration of offices, including facilities management, supplies, and upkeep.
Manage office infrastructure, including lease renewals, new office setupand maintenance of premises and equipment.
Oversee vendor coordination, including negotiations, service quality checks, and timely settlements.
Coordinate and manage travel, logistics, and accommodation arrangements, ensuring cost efficiency and compliance.
Provide administrative support for meetings, events, conferences, and official visits.
Ensure compliance with statutory and organizational policies (POSH, safety, hygiene, workplace standards).
Coordinate project activities across teams to ensure timely and quality implementation; prepare proposals, concept notes, and reports for donors and stakeholders;
Monitor milestones and deliverables; and support senior management in programme decision-making and fundraising initiatives.
Maintain the project milestone and coordination with the project team.
Maintain and strengthen office systems, including filing, documentation, inward-outward records, and correspondence.
Oversee asset management, including tracking, register maintenance, insurance, and periodic audits.
Monitor staff attendance systems and coordinate with HR for monthly records.
Supervise petty cash management and administrative expenses.
Support and coordinate with regional administration teams to ensure alignment and smooth operations.
Assist in policy formulation and implementation of administrative procedures and guidelines.
Perform any other tasks as assigned by the Functional Head.

Required Qualifications & Experience

a. Masters Degree, preferably in business management.

b. At least 10 years of experience in managing Administration. Experience with a not-for profit would-be a plus.

c. Successful candidate should be comfortable in proactively and openlycommunicating and understanding of various aspects of Procurement and Administration

d. Excellent written and verbal communication skills in English.

e. Previous experience engaging and coordinating with vendors, suppliers and teams

f. Advanced literacy in MS Excel, Power Point Presentation Skills and working knowledge of excel spreadsheets

g. Ability to multitask and track multiple projects and deadlines

h. Experience of past working on any ERP software preferred.

i. Open to Travel as and when needed
