Job Purpose

The Sales Coordinator is responsible for supporting the Sales and Client Servicing functions by managing sales inquiries, coordinating with prospective clients, preparing and maintaining sales information, handling follow-ups, and ensuring smooth communication from inquiry to closure.

The role requires strong coordination, communication, follow-up, and organizational skills. The Sales Coordinator will work closely with the Sales, Client Servicing, Creative, Production, and Management teams to ensure timely movement of leads and opportunities.

Key Responsibilities1. Lead & Inquiry Coordination

Receive and manage sales inquiries from different channels.
Record and update all incoming leads in the CRM / lead tracker.
Collect basic client requirements such as event type, date, location, guest count, budget, and requirements.
Qualify leads and identify genuine business opportunities.
Assign or coordinate qualified inquiries with the concerned Client Servicing / Sales person.
Ensure every inquiry is properly tracked and followed up.

2. Client & Prospect Communication

Coordinate with potential clients regarding initial requirements and meeting schedules.
Make follow-up calls and messages to prospects.
Share company profile, portfolio, and relevant information with prospects when required.
Schedule client meetings and calls with the Sales / Client Servicing team.
Maintain professional communication with clients throughout the sales process.
Ensure client requirements are communicated accurately to the concerned team.

3. Sales Follow-Up

Conduct regular follow-ups on active leads and proposals.
Track pending responses, meetings, quotations, and client decisions.
Follow up with clients after meetings and presentations.
Reconnect with old and inactive leads.
Maintain a proper follow-up schedule to ensure no sales opportunity is missed.
Support the Sales / Client Servicing team in moving leads towards closure.

4. Sales Documentation & Coordination

Maintain sales trackers, lead databases, and inquiry records.
Prepare and organize client briefs, meeting notes, and follow-up details.
Coordinate with the quotation team for required costing or quotation information.
Ensure proposals, presentations, and quotations are shared with clients on time.
Maintain records of proposals sent, follow-ups, meetings, and closures.

5. Internal Team Coordination

Coordinate with Client Servicing, Creative, Production, and Operations teams for sales requirements.
Follow up internally for proposals, presentations, quotations, and other client requirements.
Ensure timely communication between the Sales team and internal departments.
Coordinate with the concerned team members to ensure smooth movement of leads from inquiry to closure.
Escalate delays or important client requirements to the reporting manager.

6. Sales Support

Assist the Sales / Client Servicing team in preparing for client meetings.
Research clients and their requirements before meetings.
Help prepare client presentation requirements and reference material.
Maintain updated portfolios, company profiles, and sales material.
Support the team during client meetings and presentations when required.
Assist in preparing sales reports and opportunity summaries.

7. Lead Generation Support

Support the Business Development / NBD function in generating new leads.
Assist with corporate and social event lead generation.
Conduct basic online research to identify potential clients and companies.
Support cold calling and outreach activities when required.
Maintain a database of potential corporate and social event clients.

8. Sales Reporting & MIS

Prepare daily and weekly sales reports.

Maintain accurate CRM / Excel / Google Sheets records.
Share regular sales updates with the reporting manager.

Salary Range

₹18,000 – ₹25,000 per month

Based on experience, communication skills, coordination ability, and relevant sales/client servicing exposure.
