# Job Description: HR & Administration Manager

**Position Title:** Manager – Human Resources & Administration

**Department:** HR & General Administration

**Reporting To:** Director / Head of Operations / CEO

### **Position Overview**

We are seeking an experienced and detail-oriented **HR & Administration Manager** to lead our end-to-end Human Resources functions, statutory labor compliance framework, and office administration—including corporate travel desk operations. The ideal candidate will bridge strategic people management with strict regulatory adherence under Indian labor laws, while ensuring seamless travel logistics and facility management for the organization.

### **Key Responsibilities**

#### **1. Indian Labor Law & Statutory Compliance Management**

* **Statutory Deductions & Filings:** Ensure 100% timely deduction, payment, and return filing for Provident Fund (EPF), Employee State Insurance (ESI), Professional Tax (PT), and Labour Welfare Fund (LWF).

* **Statutory Compliance Acts:** Maintain full compliance with key Indian employment acts, including:

* Payment of Gratuity Act, 1972 & Payment of Bonus Act, 1965

* Maternity Benefit (Amendment) Act, 2017

* Minimum Wages Act, 1948 & Equal Remuneration Act, 1976

* Industrial Employment (Standing Orders) Act, 1946

* Factories Act, 1948 / State Shops & Commercial Establishments Act

* Contract Labour (Regulation and Abolition) Act, 1970 (if applicable)

* Alignment with the **New Indian Labour Codes** (Code on Wages, Industrial Relations Code, Code on Social Security, and Occupational Safety, Health and Working Conditions Code).

* **POSH Compliance:** Serve as a key member/facilitator for the Internal Committee (IC) under the Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013 (POSH). Ensure mandatory employee awareness training and annual return filing.

* **Registers & Documentation:** Maintain all statutory physical and digital registers (Form A, B, C, D, Attendance, Muster Roll, Overtime, Inspections) and manage government labor officer inspections and audits.

#### **2. Travel Desk Operations & Travel Management**

* **Domestic & International Bookings:** Manage end-to-end travel logistics, including flights, trains, cabs, and accommodation for domestic and international business trips.

* **Corporate Vendor & Hotel Tie-ups:** Negotiate competitive corporate rates with corporate travel agencies, airline portals, cab aggregators, and hotel chains.

* **Travel Policy Enforcement:** Implement and enforce corporate travel policy guidelines, expense caps, and approval matrixes.

* **Visa & Documentation Support:** Oversee visa applications, passport renewals, travel insurance, and foreign exchange (Forex) assistance for employees traveling abroad.

* **Travel Reimbursements & Expense Audit:** Audit travel claims and bills before submitting them to finance for reimbursement processing.

#### **3. Core HR Operations & Talent Management**

* **Recruitment & Selection:** Oversee talent acquisition across departments, handle job descriptions, candidate screening, interviews, offer letters, and background verification (BGV) processes.

* **Onboarding & Offboarding:** Lead orientation programs, asset issuance, documentation, exit interviews, full & final (F&F) settlements, and clearance clearances.

* **Payroll Coordination:** Prepare and verify monthly loss of pay (LOP) data, attendance records, leaves, variable pay, and coordinate with finance/payroll providers.

* **Performance Management:** Manage annual appraisal cycles, KPI/KRA tracking, probation evaluations, and performance improvement plans (PIPs).

* **Employee Relations & Culture:** Handle employee grievances, disciplinary proceedings, domestic inquiries, and engagement initiatives to foster a positive workplace culture.

#### **4. General Administration & Facility Operations**

* **Office Administration:** Oversee day-to-day office operations, facilities, housekeeping, security staff, and office maintenance contracts.

* **Vendor Management:** Manage contracts with office suppliers, stationary vendors, IT hardware providers, and utility services.

* **Asset & Inventory Management:** Maintain records of company assets, SIM cards, laptops, and access cards issued to staff.

### **Requirements & Qualifications**

* **Education:** MBA / PGDM in Human Resource Management, Commerce, or Law (LL.B in Labor Law is a plus).

* **Experience:** 5 to 10 years of hands-on experience handling generalist HR, statutory compliance, and admin/travel desk operations in India.

* **Compliance Expertise:** In-depth working knowledge of Indian statutory frameworks (EPFO, ESIC, LWF, Shops & Establishment Act, POSH, Labour Codes).

* **Systems Proficiency:** Hands-on experience with HRMS portals (e.g., Keka, Darwinbox, GreytHR), online government compliance portals (Shram Suvidha, EPFO, ESIC), and corporate travel portals (e.g., MakeMyTrip Corporate, Cleartrip for Work, BizAway).

* **Skills:** Excellent communication, negotiation, conflict management, vendor negotiation, and audit handling skills.
