Disclaimer: Please do not apply unless you have a strong technical background in Architecture and Interior Design. This is not a general administrative or coordination role.

We are looking for an experienced professional to work as the right hand to the Principal Architect & Interior Designer, taking ownership of the day-to-day design and execution process. The ideal candidate will oversee the entire team, coordinate with consultants, contractors, vendors, and clients, ensure seamless project execution, maintain quality standards, and drive projects from concept to completion.

About MS Wave Studio

MS Wave Studio is a contemporary architecture and interior design practice delivering bespoke residential, commercial, and hospitality projects. We are looking for an experienced, proactive, and technically sound Executive Assistant to work directly with the Principal Architect.

This is not a conventional administrative role. We are seeking someone who understands architecture and interior design, can communicate confidently with clients, coordinate projects, and ensure seamless execution between the office, site, consultants, vendors, and design team.

Key Responsibilities

Act as the primary point of coordination for the Principal Architect.
Attend client meetings, prepare meeting minutes, and ensure timely follow-up on all action items.
Accompany the Principal Architect for client meetings and site visits.
Understand project discussions and communicate requirements accurately to internal teams.
Handle client calls, resolve routine queries, and maintain professional client relationships.
Coordinate with architects, designers, consultants, contractors, vendors, and project teams.
Track project timelines, approvals, pending decisions, and deliverables.
Review drawings, BOQs, specifications, and project documentation with a technical understanding.
Schedule meetings, site visits, presentations, and project reviews.
Maintain project documentation, correspondence, and records.
Ensure all discussions translate into actionable tasks and monitor their completion.
Assist in preparing presentations, proposals, quotations, and project reports.
Follow up with clients, consultants, and vendors to ensure smooth project progress.
Escalate critical issues proactively and support decision-making through organized reporting.

Required Qualifications

Bachelor's Degree or Diploma in Architecture, Interior Design, Civil Engineering, or a related field.
Minimum 5 years of relevant experience in an architecture or interior design firm.
Strong understanding of architectural drawings, interior detailing, materials, and execution processes.
Excellent verbal and written communication skills in English and Hindi (Bengali is an added advantage).
Highly organized with exceptional multitasking and follow-up abilities.
Confident in handling high-profile clients and professional meetings.
Strong problem-solving and coordination skills.
Willingness to travel for site visits as required.

Technical Skills

AutoCAD (basic understanding)
Microsoft Office (Word, Excel, PowerPoint)
Google Workspace
Project coordination and documentation
BOQ and drawing interpretation
Meeting documentation and reporting
