WE ARE HIRING – RECEPTIONIST / FRONT DESK EXECUTIVE

Location: Kasba, Kolkata
Department: Administration / Front Office
Salary: ₹14,000 – ₹17,000 per month (Based on experience, skills, and overall suitability)
Joining: Immediate Joiners Preferred
Reporting To: Admin Head / Management

About the Role

We are looking for a smart, presentable, well-organized, and responsible Receptionist / Front Desk Executive to manage the front office and support day-to-day administrative activities.

Apart from handling reception and visitors, the candidate will also be responsible for courier tracking and cost monitoring, office stationery inventory, mobile bill tracking, payment follow-up, and other administrative coordination.

Key Responsibilities

Front Desk & Reception:

Manage the reception and maintain a professional and welcoming front office.
Attend and transfer incoming telephone calls professionally.
Welcome visitors, guests, candidates, and business associates.
Maintain visitor records and coordinate with concerned departments.
Handle incoming and outgoing correspondence, documents, and parcels.

Domestic & International Courier Management:

Arrange and track domestic and international couriers.
Maintain proper records of all courier dispatches and deliveries.
Track courier costs department-wise and maintain monthly cost records.
Follow up with courier companies regarding delayed or pending deliveries.
Compare courier charges and identify opportunities to reduce overall courier expenses.
Coordinate with different departments regarding courier requirements.

Stationery & Office Inventory:

Maintain proper inventory of office stationery and consumable items.
Monitor stock levels and ensure timely availability of required materials.
Maintain issue and consumption records.
Avoid unnecessary purchases and help control stationery costs.
Coordinate with vendors for timely procurement of office supplies.

Mobile Bill & Payment Tracking:

Maintain records of company mobile connections and monthly bills.
Track mobile bill due dates and follow up for timely payment.
Coordinate with the concerned departments, service providers, and Accounts team.
Maintain proper records of bills, payments, and outstanding amounts.
Monitor mobile expenses and report any unusual or unnecessary costs.

Administrative Support:

Maintain basic administrative records, registers, and documentation.
Assist with meeting coordination and general office communication.
Support the Admin and Accounts teams with bill collection and follow-up.
Prepare basic reports and Excel trackers as required.
Perform other front office and administrative responsibilities assigned by management.

Required Skills:

✔ Good spoken and written communication skills
✔ Pleasant personality and professional telephone etiquette
✔ Strong follow-up and coordination ability
✔ Good knowledge of MS Excel, Word, Email, and basic computer applications
✔ Ability to maintain accurate records and trackers
✔ Good organizational and multitasking skills
✔ Responsible, sincere, and detail-oriented

Qualification & Experience:

Graduate preferred.
1–3 years of experience in Reception, Front Office, Administration, or Office Coordination preferred.
Candidates with experience in courier coordination, inventory management, and bill/payment follow-up will have an added advantage.
