Full job description

The Executive – Centre Operations will be responsible for ensuring the smooth and effective functioning of the training centre by adhering to the project framework, managing administrative and operational activities, facilitating training and centre-level interventions, and coordinating with internal and external stakeholders. The role will contribute to the successful implementation of the Skill Livelihood Program by ensuring timely achievement of project deliverables, maintaining quality standards, and fostering a positive and conducive learning environment for trainees.

Key Roles and Responsibilities

Adhere to the Skill Livelihood Program's training framework, policies, standard operating procedures, and operational guidelines.
Facilitate baseline assessments and support the achievement of program deliverables within defined timelines.
Ensure compliance with due diligence requirements for the training centre and adherence to organizational and project standards.
Liaise with senior management, government/public agencies, local authorities, community stakeholders, and other relevant partners to facilitate the timely implementation of project activities.
Maintain effective coordination with state and national teams to ensure alignment with project objectives, targets, and implementation plans.
Support the recruitment, onboarding, and induction of centre staff in accordance with project requirements.
Oversee the day-to-day operations of the training centre and coordinate staff work plans, priorities, and activities.
Monitor trainee attendance across all batches and ensure timely, accurate, and complete data entry and record maintenance.
Maintain administrative records, registers, trainee documentation, and other project-related records in accordance with organizational and project requirements.
Facilitate logistics, procurement, asset management, and inventory management required for the effective functioning of the centre.
Prepare and submit periodic progress reports, MIS reports, financial statements, utilization records, and other performance-related reports as required.
Monitor and evaluate centre activities to assess effectiveness and identify areas for improvement based on data, feedback, and stakeholder inputs.
Conduct regular staff meetings to review progress against targets, discuss challenges, and develop appropriate action plans.
Support the preparation of communication and promotional materials, including newsletters, brochures, flyers, posters, and other outreach materials, and coordinate their printing and distribution.
Support the planning and execution of centre-level events, exposure visits, community outreach activities, mobilization drives, and promotional campaigns to enhance program visibility and participation.
Represent the centre during official visits, monitoring visits, audits, inspections, and other institutional engagements, ensuring effective coordination and communication.
Provide operational guidance and support to centre staff, trainers, and trainees to ensure smooth implementation of training and project activities.
Identify operational challenges, facilitate timely problem-solving, and escalate critical issues to the appropriate authorities when required.
Promote teamwork, professional conduct, mutual respect, and positive working relationships among staff, trainers, trainees, and stakeholders.
Foster a safe, inclusive, learner-friendly, and conducive environment for training and skill development.
Perform any other duties and responsibilities assigned by the reporting manager in line with organizational and project requirements.

Required Qualifications and Experience

Educational Qualification:

Graduate in any discipline from a recognized university or institution.
Preference will be given to candidates with qualifications in Management, Education, Social Work, Information Technology, or related disciplines.

Experience:

2–4 years of relevant experience in project operations, skill development, vocational training, education management, centre management, or social development programs.
Experience in managing training centres or working in government/CSR-funded skill development projects will be an added advantage.

Technical Skills

Proficiency in Microsoft Office applications, particularly MS Word, MS Excel, and MS PowerPoint.
Strong data management, documentation, MIS, and reporting skills.
Ability to maintain and analyze centre-level operational and performance data.
Basic understanding of administrative, procurement, logistics, and inventory management processes.
Ability to prepare professional reports, presentations, official correspondence, and project documentation.
