Job Description – Sales Coordinator / Sales Support Executive

Sales Coordinator / Sales Support Executive

Job Summary

The Sales Coordinator / Sales Support Executive will play a critical role in supporting the Sales & Business Development team by ensuring seamless coordination between customers, sales personnel, production planning, supply chain and internal departments. The role focuses on sales planning, demand forecasting, order coordination, MIS reporting, dashboard preparation, and ensuring timely execution of customer requirements.

The individual will act as the central coordination point between the sales team and manufacturing to facilitate efficient production planning, inventory management, and on-time deliveries.

Key Roles & ResponsibilitiesSales Coordination

Coordinate with all Sales Managers and Key Account Managers on a daily basis.
Compile and consolidate customer enquiries, quotations, purchase orders and order status.
Track the complete order lifecycle from enquiry to dispatch.
Ensure timely follow-up with internal teams for smooth order execution.
Maintain accurate sales records and customer databases.

Sales Planning & Forecasting

Prepare monthly, quarterly and annual rolling sales plans.
Consolidate sales forecasts received from all regional sales teams.
Prepare demand forecasts for production planning.
Coordinate forecast revisions based on changing customer requirements.
Monitor forecast accuracy and identify demand trends.

Production Planning Coordination

Coordinate with Production Planning, Factory Sales Coordination, Stores, Procurement, and Dispatch teams.
Share rolling production plans with manufacturing teams.
Track production progress against committed schedules.
Highlight potential production bottlenecks and recommend corrective actions.
Ensure alignment between customer commitments and manufacturing capacity.

MIS, Reporting & Dashboard Management

Prepare weekly and monthly sales MIS reports.
Develop management dashboards covering:
Order Book
Sales Pipeline
Order Execution Status
Production vs. Demand
Dispatch Status
Pending Orders
Revenue Forecast
Sales Performance
Customer-wise Analysis
Product-wise Analysis
Present reports and analytical insights to the Sales Head and management.

Data Analysis

Analyze sales trends, customer buying patterns and demand fluctuations.
Generate actionable insights using historical sales data.
Identify gaps between forecast, production, and actual dispatch.
Support strategic planning with detailed analytical reports.

Cross-Functional Coordination

Coordinate with:

Production Planning
Manufacturing
Quality
SCM & Procurement
Logistics & Dispatch
Finance
Customer Service
Ensure smooth communication between departments for timely order fulfillment.

Sales Administration

Maintain sales documentation and order records.
Monitor quotation validity and customer follow-ups.
Support preparation of presentations, customer reports, and review meetings.
Assist in monthly and quarterly business review presentations.

Customer Support

Provide timely updates to customers regarding order status.
Coordinate internally to resolve delivery-related issues.
Ensure customer commitments are met within agreed timelines.

Advanced proficiency in Microsoft Excel (Pivot Tables, VLOOKUP/XLOOKUP, Power Query preferred).
Good knowledge of PowerPoint and dashboard preparation.
Experience with ERP systems (SAP/Oracle/Microsoft Dynamics or similar).
Strong planning and organizational skills.
Ability to manage multiple priorities under tight timelines.
High attention to detail and accuracy.
Team-oriented with strong interpersonal skills.

Educational Qualification

Bachelor's degree

Experience

1–3 years of experience in Sales Coordination, Sales Operations, Sales Support, MIS, Production Planning Coordination, or Business Operations.
Experience in manufacturing, telecom, industrial products or B2B industries is preferred.
