Role: Assistant Manager — Procurement & Admin (Infra & Setup)

Location: Gurugram

As we scale our dark store footprint across cities, we are building a strong infrastructure and operations backbone to ensure every store launch is operationally ready, cost-efficient, and scalable from Day 1.

Role Overview:

We are looking for an Assistant Manager — Procurement & Admin (Infra & Setup) to become the physical backbone of our dark store expansion. This role is responsible for ensuring that every new store launch has the right infrastructure, in place, on time, and at the right cost.

From racking systems to signage, cold storage to electrical fit-outs, you will own end-to-end procurement and vendor coordination for store infrastructure. This role demands someone who is relentless about timelines, ruthless in vendor negotiations, and detail-obsessed in execution.

Key Responsibilities:

A. Procurement & Vendor Management:

Own procurement of all in-store infrastructure including racks, crates, cold-chain units, signage, shelving, packaging stations, and electrical fixtures
Build and manage a vetted vendor panel; negotiate pricing, SLAs, and payment terms to optimize cost without compromising launch timelines
Drive competitive bidding processes and maintain procurement records with zero compliance gaps
Ensure timely vendor coordination and execution aligned with launch schedules

B. Dark Store Setup & Coordination:

Manage end-to-end store fit-out timelines from lease signing to Day 1 operations-ready handover
Coordinate with Real Estate, Operations, and City Launch teams to align on store specifications and setup checklists
Conduct pre-launch audits to ensure every store meets operational and safety standards before go-live
Ensure all infrastructure and setup requirements are completed within committed timelines

C. Admin & Systems Management:

Maintain a live asset register across all operational and upcoming dark stores
Manage vendor payments, purchase orders, and invoice reconciliation in coordination with Finance
Continuously improve procurement SOPs to reduce setup timelines and cost per store
Ensure proper documentation and tracking of procurement and infrastructure activities

What We’re Looking For:

3–5 years of experience in procurement, facilities management, or retail/warehouse fit-out roles
Experience managing multi-vendor and multi-site projects simultaneously
Strong negotiation and vendor management skills with proven cost optimization capability
Proficiency in procurement tools, spreadsheet-based tracking, and basic project management software
Ability to work under tight, non-negotiable launch deadlines
Strong coordination and execution ability across multiple stakeholders
