Job Summary
We are looking for an exceptionally organized, intelligent, and patient-focused Doctor's Assistant (Appointments, Patient Care & Treatment Packages) to become the primary non-clinical coordinator for all in-house/consulting doctors.
The ideal candidate must possess strong medical knowledge and be capable of confidently explaining diseases, treatment options, surgical procedures, investigations, expected outcomes, recovery timelines, possible complications, health packages, and hospital procedures in simple, patient-friendly language. Clinical decision-making and medical advice will always remain the responsibility of the treating consultant.
You will prepare patients for consultations, surgeries, blood tests, imaging, admissions, and follow-up visits by educating them about preparation requirements, required documents, financial estimates, recovery expectations, and hospital processes.
You will manage multiple consultant calendars simultaneously, coordinate appointments across departments, optimize doctor schedules, communicate schedule changes immediately, and ensure consultants remain continuously updated regarding emergencies, cancellations, delays, surgeries, OT schedules, conferences, ward rounds, and leave plans.
This role demands exceptional communication skills, outstanding observation, excellent memory recall, rapid decision-making, strong mathematical aptitude, and the ability to multitask under pressure while maintaining absolute professionalism and confidentiality.
Your performance directly impacts doctor productivity, appointment utilization, patient satisfaction, treatment compliance, package conversions, and the overall patient experience.
Non-Negotiable Key Performance Indicators (KPIs)
Doctor Schedule Utilization
Maintain at least 95% appointment slot utilization for assigned consultants.
Zero Missed Follow-ups
Ensure 100% scheduled follow-up calls, review appointments, and patient reminders are completed on time.
Appointment Accuracy
Maintain accurate consultant calendars with zero scheduling conflicts or missed appointments.
Patient Education
Ensure every patient receives complete education regarding investigations, procedures, surgeries, follow-up care, and treatment plans before the scheduled date.
Package Conversion
Actively educate and coordinate eligible treatment packages and preventive health packages to improve patient adherence.
Communication Excellence
Respond to patient calls, WhatsApp messages, and appointment requests professionally and within defined turnaround times.
Key Responsibilities
1. Appointment & Calendar Management
- Manage multiple consultant calendars simultaneously.
- Schedule new consultations, review appointments, follow-ups, and re-appointments.
- Coordinate surgery schedules, OT bookings, diagnostic appointments, and admissions.
- Optimize doctor schedules for maximum efficiency.
- Fill cancelled appointment slots wherever possible.
- Confirm appointments one day in advance.
- Send reminders via Phone, SMS, WhatsApp, or Email.
- Maintain consultant availability calendars.
- Inform doctors immediately about cancellations, emergencies, delays, VIP patients, urgent consultations, and schedule changes.
2. Patient Education & Counselling
- Educate patients regarding diseases and treatment pathways using hospital-approved information.
- Explain investigations, blood tests, imaging procedures, surgeries, expected outcomes, possible complications, recovery timelines, and follow-up requirements.
- Explain treatment packages and preventive healthcare programs.
- Prepare patients before surgeries, procedures, investigations, and admissions.
- Ensure patients understand hospital workflows and treatment timelines.
- Escalate all clinical questions and treatment decisions to the treating consultant.
3. Weekly Follow-up & Patient Engagement
- Conduct scheduled weekly telephone counselling.
- Monitor treatment compliance.
- Encourage patients to attend review appointments.
- Remind patients regarding medications, investigations, and upcoming procedures.
- Record patient progress and concerns within the Hospital Information System (HIS).
- Coordinate with consultants whenever escalation is required.
4. Treatment Package Coordination
- Explain hospital treatment packages.
- Coordinate package enrolments.
- Schedule package investigations.
- Monitor package completion.
- Coordinate annual health check-up renewals.
- Improve package conversion rates through patient education.
5. Doctor Coordination
- Prepare daily consultation schedules.
- Ensure all patient reports are available before consultation.
- Coordinate with Nursing, Laboratory, Radiology, Operation Theatre, Pharmacy, Billing, and Administration.
- Arrange investigations before consultations whenever possible.
- Assist consultants in managing OP workflow efficiently.
- Maintain consultant preference records for smoother practice management.
6. Documentation & Reports
Maintain complete records of:
- Appointment schedules
- Follow-up status
- Missed appointments
- Re-appointments
- Weekly counselling logs
- Treatment package enrolments
- Patient communication history
- Consultant calendars
- Pending investigations
- Surgery schedules
Generate daily, weekly, and monthly reports on appointment utilization, follow-up compliance, and patient engagement.
