Position Overview:

The Exec./Sr. Exec./AM – Procurement & Administration will support daily regional procurement, vendor coordination,

facility management, and administrative operations. The role focuses on process execution, documentation, vendor follow?ups, and service support to enable smooth functioning and operational efficiency.

Job Purpose:

To support regional procurement and administration operations through timely sourcing, vendor coordination, facility

upkeep, documentation, and compliance activities that ensure uninterrupted business operations and cost-effective

services.

Key Roles & Responsibilities:

Procurement Support

Assist in processing purchase requisitions and collecting quotations.
Prepare comparison sheets and support purchase order creation.
Coordinate with vendors for deliveries, invoices, documentation, and issue resolution.
Maintain records of procurements and ensure policy adherence in transactions.

Fleet and Vendor Coordination

Support fleet vendor empanelment documentation and onboarding.
Follow up on rate agreements, vendor billing, and timely service delivery.
Assist in monitoring vendor service quality and issue escalations.

Administration & Facility Operations Support

Support housekeeping, pantry, utilities, office equipment maintenance, and workplace upkeep.
Coordinate maintenance calls, AMC service visits, and preventive service schedules.
Assist in safety compliance, facility readiness, and statutory documentation follow-ups.

Inventory & Asset Support

Maintain inventory records of consumables, IT assets, spares, and furniture.
Assist in asset tagging, physical verification, and dispatch tracking.
Keep updated reports for audits and internal controls.

Administrative Support Services

Coordinate travel desk bookings, transport arrangements, and visitor logistics.
Support procurement and distribution of consumables, corporate gifts, and employee amenities.
Manage documentation, billing follow-ups, GRN postings, and tracker updates.

EMS

Ensure that EMS is properly implemented and that environmental matters are properly handled at all stages
The incumbent should be ISO 14001 :2015 trained or has a good awareness about Environmental initiatives/ ESG
Should have knowledge about Environment related Authorized vendor
Must be able to bring cost effective environmental solutions

Qualifications & Experience:

Education

Graduate in any discipline

Experience

1–3 years of experience in procurement, facility administration, vendor coordination, or office administration.
Experience in logistics, supply chain, express delivery, or service industry is an advantage.
