Job Description: Front Desk Executive / Receptionist

Location: Suguna Complex, Hyder Nagar, Kukatpally, Hyderabad

Employment Type: Full-time

Shift Timing: 10:00 AM – 7:00 PM (Rotational week-off)

About Evoke Hair Clinic

Evoke Hair Clinic is a doctor-led hair restoration center offering surgical, non-surgical, and medical hair care solutions, including hair transplants, GFC, PRP, and custom hair replacement procedures. We deliver high clinical standards with personalized patient care across major hubs in India.

Position Overview

We are looking for a customer-oriented and organized Front Desk Executive / Receptionist for our Kukatpally, Hyderabad clinic. As the primary point of contact, you will represent the brand, streamline daily clinical operations, manage patient scheduling, handle billing, and maintain inventory.

Key Responsibilities1. Patient Experience & Front Desk Operations

Welcome walk-in patients and scheduled visitors, ensuring a clean and welcoming reception area.
Address patient queries about clinic services (hair loss treatments, PRP, GFC, hair transplants) with professional, polite communication.
Manage registration, onboard new patients, and update digital health records in the Clinic Management System (CMS).

2. Appointment Scheduling & Confirmations

Manage doctor consultation calendars and procedure schedules.
Make proactive outbound calls and send messages to confirm upcoming appointments, follow-ups, and post-procedure check-ups.
Minimize no-shows by managing cancellations and rescheduling slots efficiently.

3. Billing & Cash Desk Management

Handle billing operations for consultations, medical procedures, retail products, and treatments.
Process payments across multiple channels (Cash, POS Cards, UPI, Net Banking, and Bajaj Finserv/EMI options).
Maintain daily billing sheets, reconcile cash desk collections, and hand over end-of-day revenue reports to management.

4. Inventory & Stock Control

Maintain real-time stock registers for consumables, medicines, hair care products, and clinical disposables.
Monitor stock levels, track product expiry dates, and raise purchase requisitions prior to stock-outs.
Coordinate with the central supply team or local vendors for timely deliveries.

5. Clinical Day-to-Day Operations

Coordinate with AIIMS-trained doctors, dermatologists, and clinical assistants to ensure smooth patient flow between waiting areas and procedure rooms.
Coordinate doctor schedules, attendance, and duty rosters.
Assist in general clinic administration, facility maintenance tracking, and vendor interactions.

Required Qualifications & Skills

Education: Bachelor’s degree in any discipline (Hospitality, Healthcare Administration, or Business Administration preferred).
Experience: 1–3 years as a Front Desk Executive, Receptionist, or Billing Executive in a clinic, hospital, dermatology center, or premium wellness salon.
Languages: Fluency in Telugu and English is mandatory; working knowledge of Hindi is a strong advantage.
Tech Proficiency: Hands-on experience with Clinic Management Software (CMS), MS Excel, Word, and POS machines.
Interpersonal Skills: Warm personality, strong phone etiquette, crisis handling, and high attention to detail.
